POSITION SUMMARY:

The Accounting Associate supports the Finance Department by managing daily accounting activities, processing invoices and payments, maintaining accurate financial records, and providing excellent service to vendors, internal teams, and customers. This role requires strong attention to detail, accuracy, and at least 2 years of hands-on accounting experience in a fast-paced environment. This role provides essential support to our finance team.

RESPONSIBILITIES:

Accounts Payable

  • Receive and process all bills from vendors, contractors (including self-employed contractors), and doctors' payments for the laboratory.
  • Accurately code bills and enter them into the accounting system.
  • Manage the approval workflow for all bills and coordinate payments based on vendor terms and company financial guidelines.
  • Maintain up-to-date vendor records and resolve inquiries professionally and promptly.
  • Ensure timely and accurate HST submissions for Alpha Laboratories Inc. and ither subsidiaries. All filings must follow CRA requirements and internal timelines.

Accounts Receivable & Billing

  • Gather precise data from internal departments to prepare accurate customer invoices in accordance with established procedures.
  • Verify and, when necessary, collaborate with doctors or patients in the case of a returned invoice due to an incorrect address. Generate new invoices with corrected details.
  • Directly communicate with patients to address incorrect information collected by stations for online payments
  • Respond to phone and email inquiries related to billing and payments, provide assistance to customers, and issue receipts for payments received over the phone
  • Collect and record payments from house call services, ensuring all payment details are accurately entered in Excel.

Additional Accounting Support

  • Assist in preparing and posting monthly standard journal entries for Alpha Labs.
  • Assist with account reconciliations and month-end close.
  • Maintain organized financial records for both internal use and audit preparation.
  • Provide support to the accounting team as needed, including serving as a backup to the Corporate Accountant and other accounting roles during sick or vacation absences.
