Job Overview

Jing Wang Law Professional Corporation is a multi-practice law firm located at Woodbine Avenue and Steeles Avenue in Markham. We are currently seeking a Front Desk Receptionist / Administrative Assistant to join our growing team. This role is ideal for a detail-oriented, responsible, and professional individual who enjoys working in a fast-paced legal environment.

Key Responsibilities

  • Answer and make phone calls to clients, insurance companies, opposing counsel, medical institutions, and other third parties in a professional and courteous manner
  • Greet clients and visitors and provide general front-desk support
  • Schedule appointments for clients and coordinate meeting times with lawyers and legal staff
  • Prepare, assemble, and organize various legal and administrative documents
  • Send contracts and documents to clients for signature using DocuSign and follow up as needed
  • Receive, sort, and distribute incoming mail and courier packages; prepare outgoing mail
  • Maintain calendars, assist with scheduling, and support lawyers and legal staff as required
  • Handle other administrative tasks and office support duties as assigned

Qualifications

  • Previous experience in an administrative, receptionist, or office support role, or completion of a relevant administrative diploma or certificate
  • Fluent in English and Mandarin; Cantonese is an asset
  • Proficient in basic computer applications (e.g. Microsoft Office); experience with DocuSign is an asset
  • Excellent communication and interpersonal skills
  • Strong attention to detail, highly organized, and able to handle multiple tasks
  • Ability to work independently as well as collaboratively in a team environment
