We are looking for an organized, motivated Operations & Estimating Coordinator to join our team and play a key role in keeping our jobs running smoothly — from quoting to completion.

Key Responsibilities

Estimating & Job Preparation

  • Review plans, drawings, and site information to prepare accurate insulation estimates and material take-offs.
  • Support the sales team by preparing quotes and proposals for residential and commercial projects.
  • Track pricing, supplier quotes, and update costing as needed.
  • Coordinate with project managers and installers to ensure proper materials, labour, and timelines are scheduled.

Operations & Logistics

  • Plan and schedule daily and weekly job assignments for crews.
  • Organize deliveries and ensure all materials are available ahead of scheduled work.
  • Maintain communication with field staff and clients to ensure smooth project execution.
  • Track inventory, materials, and equipment.
  • Support invoicing and job close-out documentation.

General Coordination

  • Maintain accurate job files, schedules, and status updates.
  • Assist management with operational reporting and performance tracking.
  • Help streamline processes as the company continues to grow.

Qualifications

  • 2+ years of experience in construction, estimating, or project coordination (insulation or building envelope experience is an asset).
  • Strong organizational and time management skills.
  • Proficient with Excel and general computer skills (experience with HubSpot or QuickBooks is a plus).
  • Excellent communication skills and attention to detail.
  • Self-motivated, reliable, and able to thrive in a fast-paced environment.
