Our Community Support Services (CSS) team provides essential services that enable our clients to thrive. Whether their disability is physical, the result of brain injury, or aging, our more than 2,000 team members assist clients in their homes and across communities, to live as independently as possible.

The opportunity

We are looking to fill one Permanent Full-Time Service Office Administrator position for our Edmonton, AB offices.

Hours: 35 hours per week

Responsibilities

  • Provide administrative support to the Community Support Services management team

  • Assist with the preparation, submission and filing of confidential documents and internal recording systems for employee vacation and sick time records

  • Using the electronic Quatro Scheduling system, the OA will develop and revise ongoing master schedules for both client and staff in accordance with the client service and budgeted hours

  • Provide administration support for programs (i.e. correspondence, file management, co-ordinate staff meetings, orientation and training etc.)

  • Payroll processing and verifying of personal expense statements to meet set deadlines identified by the payroll schedule

  • Responsibility for short notice coverage during working hours

  • Enter data, and prepare payroll and finance reports for program managers

  • Update and maintain program manuals and other organizational manuals as appropriate

  • Maintain and assist with continuous improvement of data collection systems to support the programs

  • Coordination of training

  • Assist in preparation of documents and reports for internal purposes and funders

  • Assist in coordination and communications between departments

  • Provide monthly reports to supervisor

  • Various program data entry

Qualifications and experience

  • Minimum Grade 12. Business / related college diploma preferred.

  • Minimum 3 years related administrative experience

  • Advanced experience in Microsoft Office; Word, Excel, and PowerPoint

  • Familiarity with Quality Management Systems including ISO

  • Experience/aptitude for designing forms in a creative and technically sound manner

  • Ability to function in an organized manner

  • Ability to take initiative and problem solve

  • Ability to take verbal and written direction and follow through to complete assigned tasks

  • Flexibility to changing demands of the job

  • Strong interpersonal and communication skills

  • Good command of grammar and accuracy with figures (attention to detail)

  • Possess a valid driver's licence and access to reliable vehicle

  • Fluency in French and/or Inuktitut not required but an asset

  • This is a fully remote position
  • Candidates must reside in Canada
  • Preference for those in Edmonton, AB to align with team schedules
