Part-Time Administrative Assistant

Hours: 3 days per week, 3-hour shifts (9 hours/week to start)

Schedule: Weekday business hours

Job Summary

Carbon Mechanical is looking for a Part-Time Administrative Assistant to support our growing team This role is ideal for someone who is reliable, detail-oriented, and enjoys keeping operations organized and running smoothly. As our company continues to grow, this position offers the opportunity to grow alongside it.

Responsibilities

  • Provide administrative support across financial, operational, and office functions
  • Assist with billing, invoicing, and record keeping
  • Support bookkeeping processes and reporting
  • Help organize schedules, documentation, and recurring tasks
  • Communicate with internal team members and external partners as needed
  • Identify and flag discrepancies or issues for review
  • Assist with preparing documents, quotes, and contracts
  • Maintain organized digital and physical records
  • Support general office operations, marketing, and special projects as required
  • Assist with coordinating time-off requests and internal approvals

Qualifications

  • Strong attention to detail and organization
  • Comfortable with the Google Ecosystem and QuickBooks
  • Ability to work independently and manage time effectively
  • Clear written and verbal communication skills
  • Previous administrative/bookkeeping experience is an asset
