The Administrative Assistant provides professional administrative and clerical support to the Parks Department, implementing workflows and processes to enhance efficiencies and effectiveness for the department and in collaboration with the Division and other organizational units.

SUMMARY OF FUNCTION:
1. Supports administrative functions for Parks operations including answering phones, managing calendars, maintaining communications, minutes of meetings, coding of invoices, reconciliation of statements, correspondence and filing

2. Schedules bookings for sports fields, parks facilities, amenities and special events

3. Researches, assembles and summarizes information from a variety of sources for use in reports, budget preparation, correspondence, meetings and presentations and for completion of forms

4. Updates the Website with accurate timely information

5. Demonstrates knowledge of policies, guidelines and bylaws within the scope of the department and role

6. Assist the leadership team with procurement of quotes and ordering of supplies

7. Assist with operational project management

8. Provide back up support and assistance as required in other areas including Pogadyl Park

9. Promotes and supports Occupational Health and Safety Requirements

TRAINING AND EXPERIENCE REQUIREMENTS:

- High School Diploma
- Administrative Professional Certificate preferred
- 2 Years Experience Providing Administrative Support preferably for a Municipality
- A valid Class 5 Alberta Driver’s License
- Standard First Aid and CPR
- RCMP Based Criminal Record Check as deemed acceptable by the Town
- Basic understanding of accounting practices
- Ability to prioritize and organize a busy workload
- Intermediate to Advanced Microsoft Office experience required
- Exceptional interpersonal, communication customer service and conflict resolution skills
