The Centre for Sleep and Human Performance is a state-of-the-art medical facility devoted to the expert evaluation, diagnosis and management of sleep disorders. The Centre's mission is to provide expert medical care in a community-based setting.

We're looking for a Full-time Medical Office Assistant – Booking Coordinator to join our clinic's appointment scheduling and coordination team. This position plays a key role in ensuring seamless and accurate scheduling for both new and existing patients. As the first contact for referring physicians and patients, the primary goal is to meet the patient's needs and expectations with exceptional, friendly and professional customer service.

Key Responsibilities

  • Act as a primary contact for patients and referring providers by phone, email, and in person.
  • Oversee appointment schedules to ensure accuracy, efficiency, and appropriate use of clinical resources.
  • Respond to patient inquiries and resolve concerns with professionalism and empathy.
  • Coordinate bookings and ensure all required documentation and consents are in place.
  • Maintain patient records within the electronic medical record (EMR) system, ensuring accuracy and confidentiality. Experience with Telus EMR, Input Health will be helpful
  • Support clinic operations by helping streamline processes and solve day-to-day administrative challenges.
  • Collaborate with clinical and management teams to ensure effective communication and workflow.

What You Bring

  • Proven experience leading or supporting a team in a medical or administrative setting.
  • Excellent organization, multitasking, and attention to detail.
  • Strong communication skills with a professional and empathetic approach.
  • Ability to stay calm and effective in a fast-paced environment.
  • Confidence using EMR systems (Input Health experience an advantage) and general computer applications.

Qualifications

  • Certificate or diploma in Medical Office Assistant studies (or equivalent combination of education and experience).
  • At least 2 years' experience in a healthcare or clinical office preferred.
  • Proficiency with Microsoft Office, Excel and other clinic management software.

Certification:

  • Certificate from a recognized MOA program (preferred)
