EBT Chartered Professional Accountants is seeking temporary, full time Administrative Assistants to join our Medicine Hat, AB location for tax season. (Approximately January to end of April). Start dates can vary.

Role of the Administrative Assistant:

Our administrative team is the heartbeat of our company. As an Administrative Assistant you are responsible for a wide range of tasks including financial, administrative, and clerical duties. This role is best suited for someone that is highly organized, detail-orientated and able to manage competing priorities and deadlines. You do well under pressure and have a positive attitude.

Job Responsibilities:

  • Assume responsibility for file room; daily or periodic filing and annual projects.
  • Email requested information to clients and financial institutions.
  • Print various returns – T1s, T4s, T5s, etc.
  • Print and prepare final copy of client financial statement packages.
  • Provide a professional, polite and welcoming customer experience.
  • Handle incoming client queries via telephone, email and in person; respond and complete requests or, hand off and assign to appropriate personnel.
  • Greet clients and visitors professionally, ensuring a welcoming first impression.
  • Answer, screen, and direct incoming calls or emails promptly and courteously.
  • Maintain a tidy and professional reception and common area.
  • Print and assemble tax packages, obtain signatures, manage e-file authorizations, and track client drop-offs and pickups.
  • Physical and digital filing and mailing.
  • Various additional duties during tax season.
  • Sundry duties as assigned.

  • Demonstrates self-confidence and maturity
  • Effective and advanced communication and client relations skills
  • Time management & task prioritization – ability to manage multiple deadlines, determine priority and get tasks completed.
  • Proficient in Adobe PDF and Microsoft Office Suite including Excel
  • Mature, self-confident, and self motivated to deliver exceptional service
  • You must be able to work Monday through Friday 40+ hours per week and some Saturdays.
  • Positive attitude

Required Education and/or Experience:

  • Minimum 2 years of reception/clerical experience in a similar or related office environment
  • Proven ability to manage sensitive and confidential information with a high degree of professionalism and integrity.
  • Business experience in a public accounting firm is considered an asset.
