About Us
We are a growing HVAC company providing commercial and light industrial mechanical services across the GTA. Due to continued growth, we are seeking a reliable, organized, and detail-oriented Administrative Assistant to support our project and service operations.
This position focuses on administrative and documentation support and works closely with the Project Coordinator, technicians, vendors, and accounting team.
Key Responsibilities
- Assist the Project Coordinator with project-related administrative tasks and documentation
- Prepare and manage work orders and service reports
- Prepare, organize, and maintain project files, records, and documentation
- Generate and compile project and service reports based on information provided by technicians and coordinators
- Assist with ordering company supplies and materials as instructed
- Follow up with vendors and suppliers regarding quotes, parts, and delivery status, as directed by the Project Coordinator
- Provide basic administrative support to accounting by organizing project-related documents and records
- Answer phone calls and respond to emails professionally
- Perform general office administration, filing, and clerical support
- Perform other ad hoc administrative tasks as assigned by manager
Requirements
- Previous administrative or office experience (HVAC or construction industry experience is an asset)
- Proficient in Microsoft Office
- Highly organized, detail-oriented, and able to handle multiple tasks
- Comfortable working with technicians, vendors, and clients
- Ability to work independently and as part of a team
Job Type: Permanent
Pay: From $20.00 per hour
Expected hours: 40 per week
