Job Summary

We are seeking a detail-oriented and organized Receptionist / Office Administrator to join our team. The ideal candidate will manage daily office operations, provide exceptional customer service, and support administrative functions to ensure smooth workflow. This role requires strong computer skills, proficiency in office software, and the ability to handle multiple tasks efficiently in a fast-paced environment.

Responsibilities

  • Manage front desk duties, including greeting visitors and answering multi-line phone systems with professional phone etiquette
  • Provide customer support and respond to inquiries via phone, email, or in person
  • Handle filing systems, document proofreading, and general clerical tasks to support office operations
  • Receive, sort, and distribute daily mail and deliveries
  • Maintain organization of office supplies and equipment
  • Perform general clerical duties, including filing, photocopying, scanning, and document organization
  • Manage calendars and coordinate meetings
  • Assist with scheduling, correspondence, and general office coordination
  • Prepare and maintain project schedules and meeting minutes
  • Review invoices, construction payment certificates, proposals, and contracts, and process documentation for payment
  • Prepare materials for internal and external communication, including memos, emails, presentations, and reports
  • Manage the flow of information in a timely and accurate manner
  • Provide administrative support to internal departments including Marketing & Sales, Permitting, Estimating, Construction, Warranty, and Finance, and support coordination among internal stakeholders
  • Support administrative tasks related to land development projects as required
  • Perform other duties as assigned

Qualifications

  • Proven experience as a Receptionist, Office Administrator, or Front Office Representative is an asset
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Hands-on experience with office equipment (e.g., printers, scanners)
  • Ability to handle multiple priorities efficiently in a fast-paced environment
  • Strong organizational skills with attention to detail
  • Experience in residential developments is a plus but not required
  • Fluency in both English and Mandarin is required

Working Conditions:

Monday to Friday: 9:30 am -5:00 pm
