Position Overview

We are seeking an experienced Administrative Professional to join our small, dynamic team and take ownership of client document management while supporting day-to-day operations. This role is essential to ensuring seamless tax season workflows, maintaining accuracy standards, and delivering exceptional client service. The ideal candidate will thrive in a fast-paced environment, demonstrate strong organizational skills, and take pride in precision and continuous improvement.

Key Responsibilities

Client Document Management

  • Perform full spectrum of administrative duties including tax return assemblies
  • Handle high volumes of confidential information with meticulous attention to detail
  • Assemble and manage comprehensive tax return packages from initial draft through final delivery
  • Coordinate finalization processes, track follow-ups, and ensure timely delivery through secure portals

Administrative & Operational Support

  • Manage client communications using established templates and protocols
  • Maintain organized digital filing systems and client databases
  • Execute various office tasks including mail distribution, courier services, and deliveries to external locations
  • Monitor project workflows and engagement management systems
  • Process and organize incoming documentation during peak tax periods with accuracy and efficiency

Process Improvement & Systems Support

  • Document standard operating procedures and identify opportunities for workflow enhancement
  • Support quality assurance and other efficiency initiatives during off-season periods

Essential Qualifications:

  • Minimum 1-2 years of administrative experience in a professional accounting or tax firm
  • Intermediate to advanced proficiency in Microsoft Word and Excel
  • Demonstrated experience handling confidential and sensitive documentation with discretion
  • Excellent written communication skills and professional correspondence abilities
  • Strong organizational and time management skills with ability to prioritize multiple tasks
  • Valid driver's license and reliable personal vehicle for post office runs and document deliveries
