Role Description
We are seeking a full-time
Administrative Assistant
to join our team in our Calgary, AB office. This is an on-site role supporting both clients and internal team members.
The successful candidate will play a key role in delivering a high-touch client experience by ensuring the smooth operation of day-to-day administrative and office functions. Responsibilities include managing client communications, preparing documentation, coordinating schedules, supporting account administration, and assisting with operational and project-based tasks.
This role is ideal for an organized, proactive professional who thrives in a fast-paced, team-oriented environment and takes pride in delivering exceptional service.
Key Responsibilities
- Provide administrative and operational support to advisors and team members
- Manage client communications and assist with scheduling and meeting coordination
- Prepare, review, and organize client documents and forms
- Maintain accurate records and assist with digital filing and workflow systems
- Support onboarding of new clients and account administration
- Assist with office coordination and administrative tasks
- Contribute to a positive, client-focused culture and uphold firm standards
Qualifications
- 1–3 years of administrative or office support experience (financial services industry experience an asset)
- Strong attention to detail with exceptional organizational and time-management skills
- Excellent written and verbal communication abilities
- Proficiency with Microsoft Office Suite and comfort with digital systems/CRM tools
- High level of professionalism, discretion, and client service mindset
- Ability to manage multiple priorities and work effectively both independently and within a team
- Post-secondary education in business, administration, or related area preferred
