Job Summary

We are seeking a reliable, detail-oriented, and proactive Administrative Assistant to join our team. This role requires a strong ability to manage multiple priorities while ensuring the office runs smoothly and efficiently. The successful candidate will be a self-starter who takes pride in supporting both daily operations and the overall team experience.

Key Responsibilities:

  • Provide exeptional administrative support, including scheduling, task management, email management, document preparation, and filing.
  • Coordinate meetings and manage calendars.
  • Prepare and edit reports, presentations, and correspondence.
  • Maintain accurate records, databases, and tracking systems.
  • Assist in creating a welcoming and professional office environment, including ensuring coffee/refreshments are available and coordinating lunch orders as needed.
  • Act as the first point of contact for internal and external inquiries, ensuring a professional and responsive experience.
  • Support special projects and additional administrative tasks as assigned.

Requirements

  • At least two years of administrative experience is required; experience in the financial field is an asset.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and basic office software.
  • Strong computer skills with the ability to learn new software quickly.
  • Excellent organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Ability to type efficiently with a high level of accuracy.
  • Strong proofreading skills to ensure quality in all written communications.
  • Experience with filing systems and clerical duties is essential.
  • Demonstrated customer service skills with a friendly demeanour and professional attitude.
  • Must be reliable.
