About the Role:
The Warranty and Service Parts Clerk is responsible for processing warranty claims, ensuring accurate documentation for efficient warranty processes is maintained, and for providing customer support for parts inquiries and order processing. This position will utilize Microsoft Office, Windows, NROES, Jobscope and various other programs to complete daily tasks.
Responsibilities include, but are not limited to:
- Process warranty claims based on company policies and procedures.
- Verify warranty coverage and liaise with customers, salespersons, and distributors to gather necessary information for claim processing.
- Maintain detailed records of warranty claims.
- Coordinate warranty returns for warranty processing with suppliers or manufacturers.
- Communicate effectively with customers and internal teams to provide updates on claim status.
- Work closely with the department manager to reconcile warranty claims and ensure accurate processing.
- Create and distribute extended warranty certificates.
- Answer service parts inquiries and process service parts orders.
- Assist with data management of warranty information/documentation.
- Cover Warranty and Service Parts Manager's duties as required.
- Act as a back-up to Order Entry, providing coverage as necessary.
- Perform other duties as assigned.
Preferred Qualifications/ Skills:
- High School Graduation Diploma or equivalent.
- 2 years' minimum experience working in an office environment.
- Previous experience in the refrigeration industry, particularly in warranty processing, service coordination, or a related role, is an asset.
- Strong organizational skills with a keen eye for maintaining accurate records and documentation. Detail-oriented mindset with a focus on problem-solving and continuous improvement.
- Proficient in using computer software and databases for data entry, record-keeping, and generating reports.
- Excellent communication skills to effectively interact with customers, and internal teams.

Hours: 8:00 am - 4:30 pm or 8:30 am - 5:00 pm
