We are seeking a reliable and detail-oriented individual to handle front office reception duties, provide administrative support, and assist with accounts payable tasks. The ideal candidate will be professional, organized, and able to manage multiple responsibilities in a fast-paced environment.

Key Responsibilities:

Reception & Office Administration

  • Greet and assist visitors, clients, and staff in a professional and friendly manner
  • Answer and direct phone calls and emails promptly
  • Maintain office supplies, equipment, and general office organization
  • Schedule meetings, coordinate conference rooms, and assist with event preparation
  • Handle incoming and outgoing mail, deliveries, and courier services
  • Maintain accurate filing systems (both electronic and paper)

Accounts Payable

  • Enter and process invoices, bills, and expense reports accurately and on time.
  • Match purchase orders, receipts, and vendor invoices.
  • Prepare and issue payments (checks, ACH, or credit card).
  • Reconcile vendor statements and resolve discrepancies.
  • Maintain and update financial records using QuickBooks.
  • Assist with month-end closing and provide support for financial reports.

Qualifications:

  • Proficiency in QuickBooks is required (minimum 2 years preferred).
  • Previous experience in accounts payable or general accounting.
  • Strong organizational, communication, and multitasking skills.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • High attention to detail and accuracy.
  • Professional demeanor and positive attitude.

Job Types: Full-time, Permanent

Pay: From $18.00 per hour

Expected hours: 40 per week
