Job Summary:
The Bilingual Accounting Assistant (Contract) is responsible for the timely and accurate day-to-day processing of accounting records and accounts payable to ensure efficient, accurate, and up-to-date financial systems. This role performs daily accounting duties and payroll-related HR functions with an emphasis on Accounts Receivable, Collections, Accounts Payable, Payroll, and Customer Interaction.
Essential Job Functions:
- Maintain and update customer and vendor account information.
- Manage accounts receivable, including customer payment follow-up and proper collections procedures.
- Prepare and participate in weekly and monthly accounts receivable status meetings.
- Research and resolve payment discrepancies with customers.
- Collect, allocate, and post deposits accurately.
- Process credits with appropriate authorization.
- Match vendor invoices with receiving documentation and investigate discrepancies.
- Enter vendor invoices into the ERP system.
- Prepare and issue vendor payments.
- Maintain accounts payable records and assist with monthly account reconciliations.
- Support financial accounting objectives and reporting requirements.
- Assist with ad hoc projects assigned by the Controller or other managers.
- Provide reception and customer service relief as required.
- Maintain records, filing systems, and perform general administrative duties as needed.
- Ensure timely processing of hourly and salaried payroll via Ceridian, in compliance with labor regulations.
- Input and update employee data in Dayforce (timeclock system), maintaining accurate and current records.
- Enter all new hires into payroll and timekeeping systems promptly and accurately.
- Maintain HR files, including new hire documentation and other confidential employee information.
Education & Experience Requirements:
- College certificate or diploma in Accounting or Business Administration.
- Minimum of 5 years' experience in an accounting or administrative role.
Required Skills & Abilities:
- Strong attention to detail and accuracy in data entry.
- Ability to work with numerical data for extended periods.
- Excellent organizational and multitasking skills.
- Professional and polite communication with customers and vendors.
- Proficient in Microsoft Excel, Word, and Outlook.
- Knowledge of financial and accounting software applications (ERP systems preferred).
- Ability to work effectively in a fast-paced environment.
- Energetic, enthusiastic, and adaptable individual who embraces learning and change.
- Bilingual — fluent in French and English (spoken and written).
