About the Opportunity

IPH is looking for a reliable, detail-driven AP & Purchasing Coordinator to support our Service Division. You'll work closely with our Service Manager, Technicians, and Warehouse team—updating Pricebook items, coordinating vendor pricing, processing and tracking POs, and verifying supplier invoices for approval.

Key Responsibilities

  • Maintain, update, and organize the Service Titan Pricebook, ensuring accurate material, labour, and equipment pricing.
  • Create and administer purchase orders for all service-related materials and equipment.
  • Verify vendor pricing, lead times, and delivery accuracy; escalate discrepancies as needed.
  • Track material movement between vendors, the warehouse, technicians, and job sites.
  • Manage inventory replenishment, including truck stock and warehouse stock for the Service Division.
  • Ensure proper job costing of materials, with all items coded accurately and consistently.
  • Reconcile AP invoices, ensuring pricing accuracy, PO match, and correct allocation.
  • Receive and enter supplier invoices into Service Titan for review and processing.
  • Work with vendors and internal teams on returns, warranty items, and credit processing.
  • Support the Service Manager with reporting, spend tracking, and purchasing data.
  • Identify inefficiencies and support improvements to purchasing workflows and Service Titan configuration.
  • Other related duties as required.

Qualifications

  • 2+ years experience in a role focused on purchasing, accounts payable, or service/coordinator roles within construction, trades, or operations.
  • Proficiency with software systems such as Service Titan, Viewpoint Spectrum, and other accounting or business management platforms, including Excel and other Microsoft Office applications (Word, Outlook, Teams) for tracking, data entry, reporting and communication.
  • Strong English communication and interpersonal skills, enabling clear instructions, precise documentation, and effective collaboration with technicians, internal teams, and vendors.
  • Technically proficient, detail-oriented, and integrity-driven, with a focus on efficiency and continuous improvement; proven in reconciling POs, invoices, and received materials.
  • Proven ability to prioritize tasks effectively, maintain organization, and ensure precise, timely, up-to-date documentation.
  • Problem-solving mindset — able to identify discrepancies and escalate them appropriately.
  • Team-oriented, dependable, and comfortable working both independently and collaboratively.
  • Working knowledge of plumbing/HVAC materials or service workflows is an advantage.
