Role SummaryAs our Marketing Administrative Coordinator, you'll bring our mission to life behind the scenes—keeping everything organized, efficient, and on-brand. You're detail-oriented, proactive, and thrive in fast-moving environments. You make sure the small things are handled—so the big things can shine. This role is foundational to keeping our marketing team aligned and our brand experience seamless across platforms.
Core ResponsibilitiesMarketing Operations
- Maintain and update marketing calendars, timelines, and project schedules in Notion
- Pull reports and assist in tracking key marketing project metrics to support campaign performance
- Support with updating monthly marketing & community metrics in Notion
- Manage recurring updates to ambassador memberships, guest passes, and corporate partner codes
Asset and Content Management
- Organize and manage digital assets (photos, videos, brand files) in a shared system for team-wide access (Google Drive, Notion, Canva)
- Proofread and format marketing materials to ensure accuracy and brand alignment
- Support with graphic design and asset creation as needed—including campaign content, social graphics, in-studio signage, presentation decks, email visuals, and branded templates
Website Support
- Assist with updating website content (via SquareSpace) to ensure the site reflects current initiatives and offerings
- Format site content to ensure consistency with brand voice and layout guidelines
- Ensure digital studio content is current and up to date
Email and CRM Support
- Support email marketing efforts via XplorGrowth—schedule newsletters, maintain automations, create/update landing pages, and manage contact lists
- Track email engagement metrics (open rates, click-throughs, conversions) and support reporting
- Troubleshoot CRM issues and collaborate with the team to resolve them efficiently

Must-Haves
- 1–2 years of experience in marketing coordination, administrative support, or operations—or a strong foundation you're ready to build on (bonus if in fitness, wellness, or lifestyle industries)
- Exceptionally organized and detail-oriented—you keep projects moving and make sure nothing falls through the cracks
- Able to manage multiple timelines, prioritize tasks, and adapt quickly as things evolve
- A proactive communicator—you follow up, ask thoughtful questions, and stay one step ahead
- Excited by behind-the-scenes work that brings campaigns, brand experiences, and studio operations to life
Familiarity with (or curiosity to grow skills in):
Notion (project management, calendars, task tracking)
- Google Drive (file organization, asset sharing, collaboration)
- Canva (basic content formatting and asset management)
- SquareSpace (basic website updates and publishing)
- XplorGrowth or similar CRM/email platforms (email scheduling and automations)
Nice-to-Haves
- Experience working within boutique fitness, wellness, or lifestyle brands
- Light graphic design skills or a creative eye for content formatting
- Event planning or community activation support experience
- Paid digital marketing or CRM campaign management experience
- Certification(s) in digital marketing, project management, or administration (optional)
- Systems & Timelines: Calendars and projects are always up-to-date; deadlines are met without follow-up.
- Accuracy & Brand Alignment: Digital assets, emails, and website updates are error-free and consistently on-brand.
- Seamless Execution: Campaigns are scheduled on time, website content is current, and CRM tools function smoothly.
- Reliable Reporting: Marketing and email metrics are tracked, summarized, and delivered on time.
- Proactive Communication: Updates are shared regularly; questions are thoughtful and solutions-oriented.

Location: Vancouver, BC, remote
Type: Part-Time
Schedule: 16–20 hours per week, with flexibility. Tasks can be completed between 8AM and 2PM, Monday to Friday
Compensation: Starting at $22/hour
