HEABC leads and supports the strategic planning related to human resources and labour relations on behalf of British Columbia's publicly funded health employers. OPPORTUNITY:

Working as part of an Administrative Services Team and reporting to the Facilities Manager, the Administrative Coordinator provides administrative support functions to the Facilities Manager and acts as team lead and coordinator for the Administrative Services Department. Responsibilities include taking the initiative to coordinate, organize and align department workflow; acting as a resource and linkage point to determine priorities and ensure work is completed; and creating correspondence, documents/briefs, reports/presentations, for the Facilities Manager including collecting and analyzing data from a variety of sources.

Responsibilities:

  1. Acts as Team Lead for the Admin department and provides support, problem solving, training, direction and orientation to new department staff.
  2. Prepares documentation, reports, agendas, minutes, memos, spreadsheets and responds to inquires using a variety of Microsoft Office programs including Teams, Word, Excel, Outlook, PowerPoint and SharePoint as well as creating maps using Visio, training videos using Canva and coordinating meetings.
  3. Provides project coordination for capital purchases and projects as required, including, preparation of reports and request for proposals, maintenance of all documentation, receiving quotations, preparing vendor comparisons and making recommendations.
  4. Coordinates and maintains a variety of administrative systems and processes including department ticketing system, business and master file databases, three administrative Outlook mailboxes, onboarding process and a SharePoint site.
  5. Liaises with licensed partner groups and external parties including unions and Ministry of Health groups to coordinate the departments' services and project work. 
  6. Coordinates and supports HEABC's First Aid program, by scheduling first aid attendants, organizing training, conducting inventory/maintenance and preparation of annual drills.

Role Specific Expertise:

  • Minimum successful completion of grade twelve (12) supplemented by business/computer training.
  • Five years' recent related experience, or an equivalent combination of education, training and experience.
  • Intermediate knowledge of Microsoft Suite (Word, Outlook, PowerPoint and Excel).
  • Demonstrated ability to communicate in a compelling, clear and concise manner (both verbally and in writing). Patience and the ability to listen and understand end-user issues is paramount.
  • Strong collaboration skills with peers and external partners and the ability to lead and direct staff as needed to ensure administrative systems and processes are consistently followed and monitored for effectiveness.
  • Considerable judgment, tact and discretion in preparing, disclosing and handling information of a confidential and sensitive nature.
  • Intermediate Level First Aid training is an asset.

In determining salary, HEABC considers many factors including the successful candidate's skillset and experience as well as internal equity.  The final salary offer will be at HEABC's sole discretion and presented as part of a competitive total compensation package.
