Hollyhock is a purpose-driven lifelong learning centre located on Cortes Island, on the traditional and unceded territories of the Klahoose, Tla'amin, and Homalco Nations. For over 40 years, Hollyhock has convened leaders, changemakers, artists, and organizers through immersive programs that renew connections to self, community, and the natural world.

ROLE PROFILE
As
Development Officer
, you are a cornerstone of Hollyhock's lean fundraising team. You are responsible for the operational, administrative, and stewardship systems that ensure fundraising efforts are accurate, ethical, and relationship-centred.
You oversee the full lifecycle of donor engagement—from gift processing and acknowledgements to reporting, stewardship, and systems optimization—so that donors feel valued, fundraising data is trusted, and the organization can grow sustainably. Your work enables senior fundraising staff to focus on strategy and relationship-building, knowing that the operational foundation is strong.
KEY RESPONSIBILITIES
Donor Operations & Stewardship
- Process donations, pledges, and tax receipts accurately and on time
- Track and follow up on outstanding pledges and payments
- Execute Hollyhock's donor stewardship plan, including donor reports and briefing notes
- Maintain high-quality donor records in eTapestry and HubSpot
Development Systems & Reporting
- Maintain and improve fundraising systems, workflows, and documentation
- Produce regular and ad hoc reports to support fundraising strategy and forecasting
- Support optimization and integration of fundraising tools (eTapestry, HubSpot, Asana, Google Workspace)
- Assist with U.S. donation processing, tax receipting, and fund flows
- Track fundraising metrics and contribute to internal dashboards
Grants & Sponsorship Support
- Manage grant and sponsorship calendars, deadlines, and reporting requirements
- Support the drafting, submission, and tracking of grant and sponsor applications and reports
- Assist with sponsorship administration, including proposals, contracts, and reporting
Campaigns, Communications & Events
- Coordinate production of fundraising materials in Canva, following templates and brand guidelines
- Support fundraising campaigns with outreach, follow-up, and data tracking
- Assist with donor appreciation materials and acknowledgements
- Support fundraising event logistics, including invitations, RSVPs, pledge tracking, and follow-up
WHO WE ARE LOOKING FOR
- 2–5 years of experience in fundraising administration, development operations, or a related role
- Experience working with donor databases or CRM systems (eTapestry and/or HubSpot preferred)
- Exceptional attention to detail and strong organizational skills
- High level of comfort handling sensitive information with discretion and confidentiality
- Strong written and verbal communication skills
- Ability to manage multiple priorities in a dynamic, seasonal fundraising environment
- Comfort following up on financial commitments by phone or email in a donor-centred, professional way
- Proficiency with Google Workspace, Canva, Asana, and Slack; experience with dashboards and reporting an asset
- A values-aligned, trustworthy self-starter motivated by purpose-driven work

4 days per week (32 hours), permanent
Location:
Remote from Vancouver / Vancouver Island regions or in-person on Cortes Island
(Remote role requires 1–2 trips per year to Cortes Island)
Compensation:
$50,000–$54,000 annually (4-day work week; $30–$33/hour)
