TOP GUN HD LTD. is excited to be opening a new mechanical services shop in Lac La Biche, Alberta in the coming month.
We are a high-performance heavy-duty mechanical operation dedicated to delivering top-quality service and exceptional customer care. As we expand from our existing mobile mechanical services, we are looking for a motivated, detail-oriented Office Manager to oversee daily office operations and provide advanced bookkeeping and invoicing support. KEY RESPONSIBILITIES
Bookkeeping & Financial Duties
- Perform full-cycle bookkeeping using accounting software (Quick Books)
- Process accounts payable/receivable, reconcile accounts, and manage financial records
- Prepare and send customer invoices accurately and on time
- Take payments from customers on site
- Track expenses, purchase orders, and service records
- Assist with payroll processing and financial reporting as needed
Office Management & Administration
- Oversee daily office operations, ensuring a seamless workflow and a professional environment
- Act as the primary point of contact for customers, vendors, and internal staff
- Manage incoming calls, emails, scheduling, and general inquiries
- Maintain filing systems, documentation, and office supplies
- Support management with internal communication, reporting, and coordination
- Supervise administrative staff and receptionists providing training and development opportunities
- Manage scheduling for meetings, appointments, and company events to optimize team productivity
- Coordinate vendor relationships for office supplies, maintenance services, and equipment repairs
- Handle human resources functions such as onboarding new employees, maintaining personnel records, and supporting employee relations
- Administer payroll processing to ensure accurate compensation delivery
- Manage budgeting processes for office expenses, supplies, and events to maintain financial health
- Oversee front desk operations including multi-line phone systems, greeting visitors with professionalism and courtesy
- Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents
- Plan and coordinate office events or team-building activities to foster a positive work culture
- Ensure compliance with office policies and procedures while promoting a safe work environment
- Assist with job costing, service documentation, and data entry
- Maintain organized records for mechanical shop operations
- Support the management team with administrative tasks and project coordination
Qualifications
- Proven experience in office management in shop based environment or administrative leadership roles with supervising experience required.
- Strong proficiency in QuickBooks for payroll and bookkeeping tasks
- Excellent schedule management skills with the ability to prioritize multiple tasks effectively
- Experience managing vendor relationships and negotiating contracts
- Knowledge of human resources practices including onboarding, employee records management, and payroll processing
- Demonstrated ability in budgeting, financial tracking, and expense management
- Prior experience working in medical office management or similar healthcare environments is a plus
- Exceptional communication skills—both verbal and written—with a professional phone etiquette approach
- Outstanding organizational skills with keen attention to detail in filing, record-keeping, and calendar management
- Ability to handle clerical tasks efficiently within a fast-paced setting while maintaining accuracy
- Familiarity with multi-line phone systems and front desk operations required
- Capable of training staff members on office procedures and fostering team development
