Your Role
CBC/Radio-Canada in Ottawa is looking for an Administrator for the Production and Resources department.
This is a 7-month assignment starting in January 2026.
You will be responsible for coordinating the processing of internal and external service requests, ensuring the proper application of relevant procedures and policies, and performing administrative tasks essential to the department's operations. In this role, you will plan, organize, coordinate, monitor, and optimize administrative and operational procedures, activities, and documentation. You will also use the Workday system as part of your daily work. In addition, some of your tasks will involve supporting the onboarding of new employees at the station.
Main Responsibilities
- Design and implement administrative solutions tailored to the station's needs.
- Help define performance indicators and monitor project progress, reporting this information to the Director.
- Serve as a key resource for employees on administrative matters (payroll, attendance, leave, etc.).
- Work closely with the Finance, Communications, and Human Resources departments to ensure effective communication between teams.
- Perform other related administrative tasks to support managers and ensure the efficient operation of station activities.
- Oversee the purchase of office supplies for all Ontario locations.
- Follow up on projects or action items assigned to the management and supervisory teams.
- Gather data and create tables, presentations, charts, and documents to track projects and priorities as required.
- Draft emails and internal communications in both English and French.
- Maintain and update multiple contact lists and databases.
- Carry out day-to-day office and administrative tasks as needed.
- Handle confidential and sensitive information with discretion.
- Ensure the proper indexing and archiving of operational documents in line with corporate requirements.
- Establish and maintain effective working relationships within the team, across departments, and with external stakeholders.
- Plan and/or organize group meetings and internal or external events.
- Provide administrative support to colleagues as needed.
- Perform any other related duties as required.
Your Profile
- Post-secondary education in office administration or a related field.
- At least three years of experience as an administrative assistant or departmental assistant in a fast-paced environment.
- Bilingualism (English and French) is essential.
- Knowledge of administrative systems and processes.
- Strong working knowledge of standard office software, including MS Word, Excel, PowerPoint, and the Google suite.
- Ability to organize and manage office activities clearly and efficiently in a high-volume environment.
- Ability to work well under pressure and manage multiple priorities and tight deadlines.
- Strong communication and interpersonal skills, with tact and diplomacy.
- Proven ability to handle all tasks with confidentiality and discretion.
- Accuracy, thoroughness, and attention to detail.
- Ability to work effectively as part of a team.
- Sound judgment and ability to work with minimal supervision.
- Initiative, creativity, and strong problem-solving skills.
- Availability and flexibility to work beyond regular hours when required.
Assets
- Basic knowledge of financial or budget management.
- Experience working in a unionized environment.
- Experience providing support to management.
- Interest in public service.
- Familiarity with CBC/Radio-Canada institutional policies (HR, Finance, Business Affairs, etc.) is an asset.
- Knowledge of office software such as SAP, ScheduALL, Workday, Livelink, and Mailchimp.
