Key Responsibilities Office Management & Studio Operations (Primary Focus)
- Serve as the on-site office lead, ensuring the studio is welcoming, organized, secure, and fully operational.
- Act as the primary liaison with building management, addressing facilities, maintenance, and common-space needs.
- Manage reception, mail, courier packages, deliveries, and general studio administration.
- Oversee cleaning services, studio upkeep, and workspace readiness.
- Manage security systems, including key fobs, access cards, and visitor protocols.
- Maintain studio policies, procedures, and health & safety planning.
- Negotiate with vendors and manage ongoing relationships with suppliers and service providers.
- Keep company contact lists and internal resources up to date.
Executive Assistant Support
- Provide direct administrative support to the Chief Creative Officer (CCO) and Chief Operating Officer (COO).
- Manage calendars, meeting coordination, scheduling, and meeting logistics.
- Assist with preparation of materials, follow-ups, and light project coordination.
- Support senior leadership with ad-hoc initiatives and confidential matters, exercising sound judgment and discretion.
Recruitment & People Support
- Coordinate recruitment logistics including interview scheduling, candidate communication, and onboarding support.
- Welcome new hires into the studio, ensuring a smooth and engaging first in-office experience or virtual for remote colleagues.
- Act as a friendly point of contact for employees, supporting day-to-day questions and studio needs.
Culture Building & Social Media
- Help shape and sustain a positive, creative studio culture through events, celebrations, and daily touchpoints.
- Plan and organize in-studio and hybrid events, celebrations, and team moments.
- Organize internal communications related to studio updates and announcements.
- Curate and schedule content for Instagram, LinkedIn, Facebook, and other social platforms to showcase studio life, culture, and creative work.
- Partner with leadership to tell the Industrial Brothers story through thoughtful, on-brand content.
Virtual & Administrative Support (Secondary)
- Support virtual coordination where needed, including remote meeting setup and digital communication.
- Maintain digital files, calendars, and shared resources that support both in-studio and remote team members.
Skills & Experience
- Positive, proactive, and people-oriented with a natural "can-do" mindset.
- Strong organizational and multitasking skills with exceptional attention to detail.
- Confident communicator with strong written and verbal skills.
- Comfortable handling confidential information with discretion and professionalism.
- Social-media savvy with a strong sense of tone, visuals, and storytelling.
- Proficient in Microsoft Office and common workplace tools.
- Ability to adapt quickly in a fast-paced, creative environment.
- Appreciation for animation, storytelling, and children's entertainment.
- Photoshop or basic design skills are an asset.
- 3-5 years of experience in office management, executive support, or administrative roles, preferably within entertainment, media, or creative industries.
