The Job

The HR Admin Assistant will support a large-scale HR integration project involving approximately 140 new employees.

  • Enter and maintain employee data in iTrent and related HR systems
  • Assist with onboarding coordination, including documentation, scheduling orientations, and preparing new hire packages
  • Support position management and ensure job titles, departments, and reporting structures are accurate
  • Assist in aligning policies and procedures for incoming employees
  • Prepare and distribute welcome communications and related materials
  • Maintain employee files and ensure confidentiality and compliance with company policies and privacy regulations
  • Generate and update HR reports using Excel and internal systems
  • Provide general administrative support to the HR team (calendar coordination, meeting minutes, correspondence)
  • Liaise with internal departments to ensure a smooth transition for new team members

What you bring to the job

The ideal candidate is someone with strong attention to detail, organizational skills, and ability to handle sensitive information with discretion. They also come with:

  • 1–3 years of HR administration or coordination experience, ideally in a corporate or integration setting
  • Proficiency with HRIS systems (iTrent experience preferred) and Microsoft Excel (VLOOKUP's, pivots an asset)
  • Solid understanding of HR processes — onboarding, data management, and policy administration
  • Excellent written and verbal communication skills
  • Ability to adapt quickly and manage multiple priorities in a fast-paced environment
  • Post-secondary education in Human Resources, Business Administration, or related field preferred
