Key Responsibilities

  • Welcome clients, advisors, and visitors professionally and courteously, ensuring a positive first point of contact
  • Manage multi-line telephone systems and email inquiries, directing communications accurately and efficiently
  • Perform precise data entry and administrative support using Microsoft Office, Google Workspace, and MGA systems
  • Assist with scheduling, meeting coordination, and calendar management for management, advisors, or internal teams
  • Maintain electronic and physical filing systems in accordance with internal policies and regulatory requirements, including confidentiality and record retention standards
  • Support administrative tasks such as document preparation, proofreading, correspondence handling, and office supply management
  • Provide client and advisor support by responding to routine inquiries and escalating matters as appropriate
  • Adhere to company policies, privacy requirements, and compliance standards applicable to the insurance and financial services industry

Qualifications & Experience

  • Previous clerical or administrative experience preferred, ideally within insurance, financial services, or other regulated professional environments
  • Proficiency in Microsoft Office (Word, Excel) and Google Workspace (Docs, Sheets); experience with MGA or CRM systems is an asset
  • Strong organizational skills with a high level of accuracy and attention to detail
  • Ability to manage multiple tasks in a fast-paced office environment while maintaining professionalism
  • Prior customer service or front-desk experience is highly desirable
  • High level of discretion and understanding of confidentiality requirements

Pay: $20.00-$24.00 per hour
