Overview
We are seeking a highly organized and proactive Office Administrator to join our team. The ideal candidate will play a vital role in managing daily office operations, supporting team members, and ensuring smooth administrative workflows. This position offers an opportunity to contribute to a dynamic work environment where strong communication and organizational skills are essential. Prior experience of around 1-2 years in office management, Immigration industry is preferred, along with proficiency in MS office and multi-line phone systems. The Office Administrator will oversee front desk duties, vendor management, and team coordination, fostering an efficient and professional workplace.
Responsibilities
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professional phone etiquette
- Oversee clerical tasks such as filing, data entry, and maintaining organized records
- Support human resources functions including onboarding, training & development, and employee record keeping
- Assist with vendor management, including invoice processing and supplier communication
- Supervise team members and coordinate administrative activities to ensure operational efficiency
- Manage office supplies inventory and place orders as needed
- Support budgeting activities by tracking expenses and preparing reports
- Ensure compliance with company policies and procedures across all administrative functions
Skills
- Proven supervising experience and team management skills
- Excellent communication skills with professional phone etiquette
- Exceptional organizational skills with attention to detail in filing, record keeping, and scheduling
- Experience with front desk operations and multi-line phone systems
- Background in office experience, clerical tasks, or administrative support roles
- Ability to handle human resources responsibilities including training & development
- Capable of managing multiple priorities efficiently in a fast-paced environment
- Strong interpersonal skills to foster teamwork and positive workplace relationships
- Knowledge of budgeting processes and expense tracking techniques
This role is integral to maintaining an organized, efficient office environment while supporting the overall success of our organization.
Job Type: Full-time
Pay: $20.00-$22.00 per hour
Expected hours: 30 – 40 per week
