About NNTC:
The Nlaka'pamux Nation Tribal Council is a governing body of the Nlaka'pamux Nation. Carrying out its mandate for over 40 years, NNTC exists to protect and advance Nlaka'pamux title and rights and is involved with the exercise of jurisdiction, cultural and natural resources, environmental sustainability, emergency management, food sovereignty, economic independence, health, and well-being. NNTC is an Nlaka'pamux entity, not a provincially or federally incorporated or regulated body however, NNTC utilizes a number of associated entities doing work in relation to archaeology, environment, wildlife, construction, and solar power to support its mandate. This Opportunity:
This position is responsible for managing general office services by ensuring office operations and procedures are efficiently organized. Additionally, this role provides administrative support to the office users as needed (e.g. supporting travel arrangements and processing of expenses). The role is key in creating a positive culture within the office; an inclusive environment that promotes a sense of community and connections between employees.
About the job:
This role is based in NNTC's Vancouver office. This is a full-time role and includes paid vacation, an extended benefit plan, and a defined contribution pension plan. Key responsibilities of the role include:
- Oversee day-to-day office operations to ensure a functional, safe, and welcoming work environment, including space planning, desk moves, and full office relocations as needed.
- Manage office setup and onboarding requirements, including coordinating and ordering furniture, equipment, technology, and supplies.
- Lead vendor and service provider relationships, including negotiating and maintaining corporate agreements (e.g., hotel rates, equipment leases, cleaning services, maintenance providers).
- Act as the primary liaison with the landlord/property management, ensuring all tenant obligations under the lease are fulfilled and building issues are addressed promptly.
- Maintain the condition and organization of the office, kitchen, and any storage areas, coordinating cleaning, repairs, and ongoing improvements.
- Serve as the first point of contact for employee questions related to office facilities, equipment, supplies, and general workplace issues, providing clear guidance and resolutions.
- Administer access control systems, including issuing, tracking, and deactivating access cards and managing related security protocols.
- Oversee office supply management, including purchasing, inventory monitoring, and cost-effective sourcing.
- Provide proactive executive administrative support to leadership, including calendar management, meeting coordination, and preparation of agendas, and supporting materials.
- Coordinate meetings and appointments for leadership and key staff, including logistics such as room bookings, technology setup, catering, and external attendee coordination.
- Support internal and external communications on behalf of leadership (e.g., drafting emails, coordinating follow-ups, and ensuring timely responses).
- Process and track timesheets, expense claims, and corporate credit card reconciliations to ensure accurate, timely financial administration and compliance with company policies.
- Help maintain and improve the structure of digital filing and shared drives to support efficient document management and easy information retrieval.
- Assist with the planning and execution of internal events, meetings, and team activities (e.g., all-hands, offsites, celebrations) to strengthen culture and collaboration.
You are a good fit for this role if you have:
- Certificate or diploma in Office Administration, Business Administration, Executive Assistance, or a related field.
- Training in records management, project coordination, or finance administration is an asset.
- An equivalent combination of education and experience will be considered.

- Strong organizational and time-management abilities with the capacity to coordinate multiple priorities in a dynamic environment.
- Excellent communication skills, both verbal and written, with a high level of professionalism and discretion.
- Proficiency with Microsoft 365 (Outlook, Teams, SharePoint, Word, Excel) and comfort with learning new systems.
- Strong problem-solving skills with the ability to anticipate needs and resolve issues proactively.
- Ability to work collaboratively with staff, leadership, and partner organizations, building positive relationships across teams.
- Strong attention to detail, accuracy, and follow-through in administrative and financial processes.
- Ability to negotiate with vendors and manage corporate agreements such as service contracts, equipment leases, and hotel rates.
- Ability to work independently with minimal supervision while supporting a wide range of staff and leadership needs.
- Ability to maintain confidentiality and handle sensitive information with integrity.
- Knowledge of Indigenous governance, protocols, and community-based work is an asset.
- Valid Class 5 driver's license is an asset, depending on travel needs.
Compensation
- $45,000 - $65,000 per year
