Job Summary:
The Program Manager is responsible for the oversight, administration, and management of programs at Simple Solutions Care Inc. This role requires strong leadership, administrative skills, organizational abilities, and a commitment to improving the lives of clients. The Program Manager ensures that all program operations run efficiently and effectively, while maintaining compliance with SSC standards, policies, and regulatory requirements. The Program Manager plays a vital role in staff supervision, database tracking, compliance with safety and Licensing and accreditation standards, The Program Manager works closely with other members of SSC Management, providing direct staff guidance and supervision, client support through case management, and overall program oversight. Additionally, this role facilitates team communication, documentation, and reporting to the senior SSC management of Simple Solutions Care Inc., ensuring that clients within SSC programs receive the support needed to foster healing, build resilience, maintain positive mental health, and work towards healthy and positive reunification.
Key Responsibilities
1. Program Administration & Compliance
- Oversee day-to-day program operations, ensuring adherence to SSC policies, procedures, and ethical standards.
- Ensure that all SSC programs, policies, and operations comply with regulatory, licensing, and accreditation requirements.

- Develop, implement, and maintain training modules that align with SSC policies and industry best practices.
- Conduct program evaluations to ensure service effectiveness and compliance with organizational and regulatory requirements.
- Ensure proper documentation and record-keeping related to programoperations, staffing, and client care.
- Monitor and write incident reports (IR), ensuring appropriate response,documentation, and follow-up actions, including action plans or safety plans.
- Maintain clear communication with senior management, caseworkers, and external service providers as needed.

2. Staff Management, Supervision, Training & Onboarding
- Oversee staff performance within the program, ensuring all employees fulfill their roles effectively.
- Conduct regular meetings within assigned programs, providing leadership, addressing concerns, reviewing case progress, and ensuring smooth program operations.
- Conduct employee supervision and evaluation reports, providing ongoing coaching and professional development to promote best practices among frontline staff.
- Facilitate new hire onboarding, ensuring employees receive proper orientation, training, and documentation, and adhere to all SSC protocols, policies, and procedures.
- Maintain and organize employee virtual files and binders, ensuring records are current, accurate, and accessible.
- Develop and implement training programs, workshops, and refresher courses to keep staff updated on policies, procedures, and best practices.
- Foster a culture of continuous learning and professional development among staff.

- 3. Client Support, Case Management & Multi-Program Oversight
- Manage multiple programs, ensuring that client needs are assessed, met, andmaintained across all services.
- Oversee day-to-day program coordination, ensuring clients' specific needs areprioritized and that services align with individual care plans.
- Ensure staDing is properly regulated and supervised, maintaining appropriate staff-to-client ratios while overseeing scheduling and workflow.
- Monitor daily operations across programs, ensuring that all tasks are coordinated efficiently, deadlines are met, and resources are appropriately allocated.
- Provide crisis intervention, conflict resolution, and de-escalation support as needed, effectively navigating challenges within programs.
- Create and submit monthly reports for the assigned programs/homes under your supervision, ensuring program updates, client progress, and key operational details are documented in alignment with individualized healing plans and goals.
- Develop and implement individualized safety and healing plans, ensuring a secure and supportive environment for clients.
- Ensure client allowance forms are signed and properly recorded in client binders.
- Act as a liaison with schools, healthcare providers, and external professionals, ensuring effective communication and proper documentation of contact notes for supervisory reference.
- Maintain client binders with up-to-date, relevant information for program staff.
- Ensure that all licensing and accreditation requirements are met for newly established programs and existing programs.
- Ensure that an activity calendar is updated and filled for each program/home so that both staff and clients can follow structured routines and schedules.
- If new programs and clients enter SSC, SSC Management is responsible for ensuring all setup processes are completed, including signing all documentation and consents between SSC, caseworkers, and clients. Intake processing must be accurately followed and documented accurately.
- Be available for rotating on-call weekend shifts at least once or twice per month, responding to emergencies, staffing concerns, and program needs as required.

- 4. Facility & Safety Oversight
- Conduct monthly facility checks and ensure compliance with health, safety, and fire regulations.
- Organize and oversee fire drills, documenting completion and identifying areas for improvement.
- Ensure program sites remain clean, safe, and functional, reporting any facility concerns or maintenance needs.
- Update facility check reports whenever maintenance is performed, ensuring all updates and/or changes are documented in the SSC database.

- 5. Communication & Collaboration
- Attend SSC management meetings and program meetings tailored to specific clients and families within different homes/programs, actively participating in discussions and providing program updates.
- Take detailed notes in meetings and conferences, ensuring key action items are tracked and implemented.
- Foster open communication between management and frontline staff, ensuring alignment with program goals and expectations.
- Work collaboratively with other departments and external service providers to enhance program delivery and efficiency.
- Rotate within SSC management on weekends according to the SSC management schedule of the month and be available on-call during assigned weekends.

- Pre-Employment Requirements:
- Satisfactory reference checks.
- Criminal Vulnerable Sector Record check (must be dated within six months andrequired before the start date).
- Child Intervention Check (must be dated within six months and required before the start date).
- Valid First Aid with Level C CPR & AED certification.
- Relevant certifications in the human services field, and or managing field (preferred)
- Educational background in human services, social work, psychology, or related fields (degrees, diplomas, or certificates preferred).

- Qualifications & Skills
- Bachelor's degree in human services, Social Work, Psychology, Health Services, or a related field (or equivalent experience in a leadership role).
- Experience in program management, staff supervision, and policy compliance within a healthcare, social services, or community-based organization.
- Strong leadership and problem-solving skills, with the ability to effectively guide teams and make informed decisions.
- Excellent organizational and administrative abilities, with attention to detail in documentation, reporting, and compliance tracking.
- Ability to manage multiple programs effectively, ensuring all client needs are met while overseeing staff performance, coordination, and supervision.
- Proficiency in developing and delivering training, ensuring staff receive high-quality professional development.
- Strong interpersonal and communication skills, with the ability to collaborate across teams and with external partners.
- Knowledge of relevant legal, ethical, and regulatory standards applicable to program management
Job Type: Full-time
Pay: $27.00-$35.00 per hour
Expected hours: No less than 40 per week
