Education Programs Coordinator

Job Description:
Grindstone Theatre is seeking an Education Programs Coordinator for 20+ hours per week. We are looking for someone with administration and education experience to help the Education Manager facilitate the classes and workshops at The Grindstone Theatre School. This job will include assisting the Education Manager in supervising the classes, workshops and any other programs. It also involves communicating with parents, students and instructors, reviewing administrative documents and completing outreach at community events and Teachers Convention. Applicants must be self-starters and able to self manage their time, workload and other responsibilities.

Roles and Responsibilities
Program Management:
- Be knowledgeable and informed about all programs offered through Grindstone Theatre School
- Communicate with instructors, students and Education Team regularly
- Give daily updates of tasks completed to the Education Manager and team
- Assist in producing showcases and communicate with instructors for tech and showcase needs (includes being present for each program's showcase)
- Follow and uphold Theatre School Policies
- Be present for the first class of each program to complete student intakes and meet instructors
- Be the site contact while programs are in session (to be split between the Education/Grindstone Team)
- Work with the Finance Manager and Education Manager to reconcile showcases, events and ensure budgets are met and updated
- Work with the Operations Manager and Education Manager to create new programs or avenues of theatrical education for the students
Marketing:
- Work with the Marketing Coordinator to promote programs and create marketing campaigns
- Assist the Education Manager with website updates and student registrations
Studio Rentals:
- Manage inquiries, create contracts & estimates and coordinate keys for studio rental bookings
Outreach:
- Prepare the booth and facilitate outreach at community events and Teachers Convention
- Be able to sell or promote our ongoing and upcoming programs to any interested parties
- Support the Education Manager with outreach workshop inquiries
- Hire, contract and coordinate instructors for outreach workshops
General:
- Work with the Education Fundraising Committee to produce the Winter/Spring Fundraiser
- Report to the Education Manager, Operations Manager, Finance Manager and Artistic Director
- Respond to student or general inquiries
- Ensure the Studio is tidy and restocked for programs/rentals
- Other duties as required
Qualifications:
- Bachelor's degree or Diploma in Theatre Arts, Arts Administration, Marketing, Business, or related field
- 1 year of admin experience (experience in Fine Arts Education Administration is an asset)
- General knowledge of theatre practice
- Experience with Wix is an asset
- Experience in fundraising is an asset
- Strong interpersonal and customer relations skills. Ability to create and sustain positive working relationships with theatre companies and staff
- Strong organizational and time management skills
- Demonstrates attention to detail with the ability to manage competing priorities at work
- Self-directed with the ability to take initiative
- The Programs Coordinator MUST be available evenings and weekends to be on call for programs, work showcases and facilitate outreach
Job Type: Part-time
Pay: $18.50 per hour
Expected hours: 20 per week
