We are seeking a proactive and skilled
Project Coordinator
to support our
Water/Wastewater
Engineering discipline. In this role, you will play a crucial part in ensuring the smooth operation of our team by providing comprehensive administrative support, managing essential resources, and facilitating effective communication.
This is an
office-based
position located in
Saint John
or
Halifax (Chain Lake office).
Work Schedule :
This position requires the Project Coordinator to be in the office
minimum 3 days a week.
Flexibility in scheduling may be necessary to accommodate the needs of the team.
Responsibilities
What your day will look like
Discipline Support
- Provide dedicated administrative support to the Water/Wastewater discipline, including the Discipline Lead, Team Managers, and team members.
- Manage and maintain the discipline's standards library, ensuring documents are organized, up-to-date, and easily accessible.
- Compile and format project specifications, ensuring consistency and adherence to quality standards.
- Support the development and maintenance of the marketing library in collaboration with Business Development Advisors (BDAs).
- Assist in coordinating drawing standards with other disciplines to promote interdisciplinary collaboration and project efficiency.
- Support Project Managers with Earned Value Management (EVM) processes, invoicing, and other project administration tasks.
- Assist the Discipline Lead and Team Managers with pipeline administrative items, internal reporting, and tracking key performance indicators.
- Support the preparation of specification packages for all discipline projects, ensuring completeness and accuracy.
- Contribute to the development and implementation of operational standards, best practices, and quality control processes to enhance efficiency.
- Identify opportunities to integrate technology to improve internal processes, enhance efficiency and effectiveness.
General Administrative Support
- Manage schedules, coordinate meetings, and arrange travel as needed.
- Prepare agendas, record meeting minutes, and track action items.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Maintain organized electronic filing systems.
- Handle incoming and outgoing communications on engineering projects.
- Assist with other administrative tasks and special projects as assigned.

Qualifications
What you will need to succeed
- Demonstrated strong organizational skills, excellent attention to detail, and the ability to effectively manage and prioritize multiple tasks in a fast-paced environment.
- Excellent written and verbal communication skills, including the ability to prepare and edit professional correspondence and materials.
- Proven ability to build positive working relationships and interact professionally with individuals at all levels.
- Demonstrated proficiency in using technology to enhance efficiency, including advanced skills in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with document management systems and databases.
- Ability to maintain confidentiality and handle sensitive information with discretion.
Experience
- 5 years of experience in an administrative role, preferably in an engineering or technical environment.
- Experience with document control, records management, and standards administration is an asset.
- Experience with project administration and financial processes is desirable.
