Job Summary
We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and support our team. The ideal candidate will possess strong administrative, clerical, and communication skills, with experience in supervising staff and managing office systems. This role is vital in ensuring smooth workflow, efficient vendor management, and effective team coordination within a professional environment.
Responsibilities
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy.
- Oversee administrative tasks such as filing, record keeping, and maintaining organized office files.
- Supervise and support office staff, providing training & development opportunities to enhance team performance.
- Handle bookkeeping duties using QuickBooks, including invoicing, expense tracking, and basic payroll processing.
- Assist with human resources functions such as onboarding new employees, maintaining personnel records, and supporting employee relations.
- Coordinate vendor management activities, including ordering supplies and managing service contracts.
- Support budgeting processes by tracking expenses and preparing financial reports.
- Ensure excellent phone etiquette and communication skills are maintained across all interactions.
- Manage office supplies inventory and ensure the office environment is organized and efficient.
Qualifications
- Proven experience in office administration or related roles with strong clerical and organizational skills.
- Supervising experience or team management skills are preferred.
- Proficiency in QuickBooks, Microsoft Office Suite, and multi-line phone systems.
- Experience with bookkeeping, payroll, vendor management, and basic human resources functions.
- Excellent communication skills with the ability to handle phone etiquette professionally.
- Strong organizational skills with attention to detail and the ability to prioritize tasks effectively.
- Office experience combined with training & development capabilities is highly desirable.
