The Purpose: Reporting to the Business Operations Manager, the Business Operations Specialist will play a critical role in ensuring the efficiency and integrity of our warehousing, logistics and business operations. You will manage inventory, hardware, asset tracking with precision, while supporting compliance, contract auditing and cross-departmental initiatives. As a key contributor of operational excellence, you will build strong relationships internally and externally, ensuring seamless coordination between teams and vendors.

You will take ownership of processes and provide feedback that strengthens both operational performance and client experience as well as be able to bridge day-to-day execution with process improvements that will help drive consistency, reliability and scalability across our operations.

Responsibilities:  

Warehousing & Logistics Operations

  • Oversee daily shipping, receiving, and fulfillment activities, ensuring timely and accurate processing of all physical assets.
  • Manage inventory lifecycle: conduct regular counts, reconcile discrepancies, and maintain up-to-date records inventory management systems (e.g., NetSuite).
  • Coordinate hardware logistics for client onboarding/offboarding, including packaging, shipment, and returns.
  • Maintain and optimize warehouse organization, labeling, and storage solutions
  • Address logistics issues with vendors and couriers, resolving delivery or shipment concerns.

Business Operations & Contract Auditing

  • Support business operations by maintaining accurate asset records linked to client contracts and agreements.
  • Conduct periodic contract audits to ensure compliance with company policies and regulatory requirements.
  • Collaborate with Business Operations and Finance teams to reconcile asset assignments, contract terms, and billing.
  • Assist in preparing documentation and reports for internal and external audits.
  • Identify and escalate discrepancies or risks related to contract fulfillment, inventory, or compliance.
  • Assist the business operations managers in completing, developing, planning, and coordinating operational activities

Reporting & Process Improvement

  • Generate and analyze inventory, shipping, and contract audit reports for management review.
  • Evaluate, improve, and maintain the organization's core operational processes to ensure compliance and an efficient and productive workflow
  • Assess existing processes and systems, identify opportunities for improvement, and work what the Business Operations Managers in each region to devise more efficient processes.
  • Participate in development and maintenance of the Occupational Health & Safety program for the region
  • Participate in cross-functional projects aimed at modernizing warehousing and business operations systems.

Other Duties

  • Provide hands-on support to internal teams during peak periods, absences, or special projects.
  • Assist with administrative tasks, ticketing, and documentation related to warehousing and business operations.
  • Foster strong working relationships with technical, procurement, and business operations staff.
  • Onboard and train new employees to ensure that they adhere to standard operating procedures as needed
  • Support company events and ad hoc initiatives as required.

Requirements:

  • Able to be flexible and accommodate priorities as needed to support the business initiatives.
  • Strong ability to analyze and comprehend requests.
  • Effective at building relationships both internally and externally and ability to collaborate cross-functionally
  • Ability to stay organized, multi-task and handle simultaneous requests.
  • Ability to work independently as well as part of a team in a dynamic environment
  • Demonstrate problem solving abilities to address issues.
  • High level of efficiency and accuracy
  • Skilled in the use of Microsoft Office products
  • Experience with inventory management systems (i.e. NetSuite) and business operations processes is an asset
  • Familiarity with contract management, auditing, or compliance in a business environment is an asset
  • First aid and/or Health & Safety certifications or willingness to obtain.
