Position Summary
Our London office is seeking a keen and eager team member interested in gaining hands-on experience in a Group Tour Booking Agent role. This position is ideal for someone who enjoys learning and utilizing technology, thrives in a client-facing environment, and is passionate about travel.
In this role, you'll support our public tour division by learning our suite of tour products, assisting clients with bookings, insurance and travel arrangements, and working closely with our experienced Group Planning team.
Key Responsibilities
- Client Booking Management:
Process client bookings including payments, optional insurance, pre/post tour stays, and airport transfers. Coordinate with our air department for air-exclusive tours to ensure all travel components are confirmed. - Upgrades & Adjustments:
Manage insurance upgrades, add-ons, and coordinate seat upgrades or deviations for air-inclusive tours in collaboration with our Group Planners. - Payment Monitoring:
Track payment deadlines, send reminders, and ensure all payments are completed. Report any concerns directly to the manager. - Client Communication:
Send tour update emails, assist clients by phone and email, and communicate any inventory issues to planners and management. - Administrative & Accounting Support:
Follow established procedures for bookings, refunds, and credits. Assist clients with insurance claims and required documentation. - Data Entry:
Attention to detail, building client profiles and follow procedures to ensure accuracy of information.
Skills & Qualifications
- Exceptional customer service skills with a positive, people-focused approach
- Strong organizational abilities with excellent attention to detail and compliance
- Passion for travel; previous travel or tourism experience is an asset
- Ability to work in a fast-paced environment with the skills to learn tasks quickly
- Tech-savvy with the ability to adapt to new and evolving systems
- High integrity, professionalism, and accountability in all aspects of work
- Post-secondary education preferred (Travel & Tourism diploma or related field is an asset)
Wage Range: $18.00-$21.00 per hour.
