**Responsibilities**:
**1. Calendar Management**:

- Coordinate and schedule meetings, appointments, and travel arrangements for the Senior Reconciliation Advisor
- Manage and prioritize the executive's calendar to ensure optimal use of their time.

**2. Communication**:

- Act as a primary point of contact between the Senior Reconciliation Advisor and internal/external stakeholders.

**3. Task Coordination**:

- Prioritize and manage multiple tasks simultaneously, following through on issues in a timely manner.
- Coordinate and execute special projects and assignments as directed.

**4. Information Management**:

- Organize and maintain files and documentation, ensuring accuracy and accessibility.
- Conduct research and prepare background information as needed for meetings and presentations.

**5. Meeting Support**:

- Prepare meeting agendas, take minutes, and distribute follow-up materials.
- Ensure meeting rooms are set up and equipped with necessary resources.

**6. Travel Arrangements**:

- Assist in coordinating domestic and international travel itineraries, including flights, accommodations, and transportation.

**7. Confidentiality**:

- Handle sensitive information with the utmost confidentiality and discretion.

**Requirements**:

- Proven experience as an administrative assistant or in a similar role.
- Excellent organizational and time-management skills.
- Strong communication and interpersonal abilities.
- Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to anticipate needs, make decisions, and work independently.
- Detail-oriented with a high level of accuracy.
- Ability to travel by automobile, plane, and boat.

**Working Conditions**:

- This is a full-time position located in our Ahousaht or Tofino office. Flexibility in working hours may be required based on the needs of the Senior Reconciliation Advisor.
- We provide company paid benefit upon hire, including 5 sick days per year and 3 weeks’ vacation.
