Job Title: Receptionist / Administrative Assistant

**Job Overview**:
We are seeking a dynamic and versatile bilingual Receptionist/Administrative Assistant to join our team. As a Receptionist/Administrative Assistant, you will be the first point of contact for our clients, visitors, and suppliers. You will be responsible for providing excellent customer service, ensuring smooth office operations, and providing administrative support to the team.

**Responsibilities**:
**1. Reception and Customer Service**:

- Greet visitors, answer phone calls, and redirect messages in a courteous and professional manner.
- Manage incoming and outgoing correspondence, including sorting, distributing, and sending mail.

**2. Administrative Tasks**:

- Perform basic administrative tasks, such as data entry, drafting correspondence, managing files, and maintaining documents.
- Maintain filing system for the office, including filing of documents and archiving.
- Prepare and update necessary documents, reports, and presentations.
- Manage office supplies and stocks, place orders when necessary.

**3. Accounts Payable/Receivable**:

- Support the accounts payable and accounts receivable processes by processing invoices and deposits, verifying payment details, and assisting in collections.
- Monitor and resolve outstanding payments and discrepancies.

**4. Team Support**:

- Provide administrative support to team members.
- Collaborate with other departments to ensure smooth communication and efficient task coordination.

**5. Office Environment Management**:

- Maintain a clean and organized work environment.
- Coordinate office maintenance and janitorial services.
- Ensure proper functioning of office equipment and report any technical issues.

**Qualifications**:

- High school diploma (or equivalent) required. Secretarial or administrative training is a plus.
- Prior experience as a receptionist, secretary, or administrative assistant is desired.
- Excellent verbal and written communication skills in English and French.
- Proficiency in office software such as Microsoft Office (Word, Excel, Outlook, PowerPoint). Experience with accounting software (Sage 50) a plus.
- Strong organizational skills and ability to handle multiple tasks simultaneously.
- High customer service orientation and ability to maintain a professional demeanour at all times.
- Ability to work independently and take initiative when needed.
- Discretion and respect for the confidentiality of information.
- Ability to adapt to a dynamic work environment and handle stressful situations.

**Aperçu du poste**:
Nous recherchons un(e) réceptionniste/assistant(e) administratif(ve) bilingue, dynamique et polyvalent(e) pour rejoindre notre équipe. En tant que réceptionniste/assistant(e) administratif(ve), vous serez le premier point de contact pour nos clients, visiteurs et fournisseurs. Vous serez chargé(e) de fournir un excellent service à la clientèle, d'assurer le bon fonctionnement du bureau et de fournir un soutien administratif à l'équipe.

**Responsabilités**:
**1. Réception et service à la clientèle**:

- Accueillir les visiteurs, répondre aux appels téléphoniques et rediriger les messages de manière courtoise et professionnelle.
- Gérer la correspondance entrante et sortante, y compris le tri, la distribution et l'envoi du courrier.

**2. Tâches administratives**:

- Effectuer des tâches administratives de base, telles que la saisie de données, la rédaction de la correspondance, la gestion des dossiers et la mise à jour des documents.
- Maintenir un système de classement pour le bureau, y compris le classement des documents et l'archivage.
- Préparer et mettre à jour les documents, rapports et présentations nécessaires.
- Gérer les fournitures de bureau et les stocks, passer des commandes si nécessaire.

**3. Comptes créditeurs et débiteurs**:

- Soutenir les processus de comptabilité fournisseurs et clients en traitant les factures et les dépôts, en vérifiant les détails des paiements et en aidant au recouvrement.
- Contrôler et résoudre les paiements en suspens et les divergences.

**4. Soutien à l'équipe**:

- Fournir un soutien administratif aux membres de l'équipe.
- Collaborer avec d'autres services pour assurer une communication harmonieuse et une coordination efficace des tâches.

**5. Gestion de l'environnement de bureau**:

- Maintenir un environnement de travail propre et organisé.
- Coordonner l'entretien du bureau et les services de conciergerie.
- Veiller au bon fonctionnement des équipements de bureau et signaler tout problème technique.

**Qualifications**:

- Diplôme d'études secondaires (ou équivalent) requis. Une formation en secrétariat ou en administration est un plus.
- Une expérience préalable en tant que réceptionniste, secrétaire ou assistant administratif est souhaitée.
