Framestore is looking for a full-time Receptionist to join the Facilities team to perform an array of administrative and clerical tasks related to the studio operations. We are looking for someone that is like-minded in providing a positive and engaging studio culture with excellent support and service to the employees and clients in Montreal. The Receptionist will be responsible for leading a first class, professional, front-of-house services to clients, visitors, and staff, as well as managing the smooth and efficient running of the reception process. This role reports directly to the Office Manager.

**What you’ll do**:

- Maintain cleanliness of reception area and ensuring the main coat room is tidy
- Greet, sign in, and sign out visitors
- Communicate and interact with Studio Management, employees, guests, landlords, clients, contractors, and vendors
- Maintain visitor date and time log daily to comply with Physical & Digital Security guidelines
- Assist the Facilities Manager in the management of physical security by following safety and security procedures and controlling access to the site via a visitor management process and electronic card system
- Handle confidential documents with discretion and professionalism
- Activate and deactivate personnel badges and maintain security badge database
- Upload weekly badge reports to Head of Facilities and Director of Operations
- Manage employee intranet, update phone, extension list, and profile pictures
- Assist with travel bookings to Montreal for internal Framestore employees, including hotel bookings and transportation
- Work with a team to plan for internal and external visitors:

- Prepare visitor badges
- Update shared visitor project plan tracker
- Ensure that a room or desk is assigned to visitors
- Welcome visitors upon arrival
- Main point of contact for all studio deliveries
- Maintain a positive relationship with vendors and service providers
- Assist in developing procedures and updating administrative systems to make them more efficient
- Manage and develop the shipping and receiving process, including sourcing quotes for various shipments and maintaining a determined budget
- Draft and design studio-wide internal communications to employees in both French and English following an approved set of marketing templates
- Manage the Facilities petty cash and submit regular statement reports
- Training, education, and development of the Reception processes with the Runners team
- Assist the Office Manager with leading the Runners team, upon request
- Various Administrative Duties to assist the Head of Facilities and Office Manager: assisting with proposals, building spreadsheets, etc
- Other responsibilities upon request

- Bilingualism with excellent writing skills in both French and English
- Excellent organization and communication skills
- Personal and friendly attitude with a strong desire to succeed
- Strong administrative skills
- 1-2 years work experience as a receptionist, operations support or similar role
- Strong client service skills
- Detail-oriented
- The ability to multitask and prioritize work
- Great team-player skills
- An aptitude to work under pressure and meet deadlines
- Multitasking and time-management skills, with the ability to prioritize tasks
- Hospitality or client-oriented business experience
- Proficient computer skills in Windows, G Suite, and MS Office

**You might also have:
- An interest in design, or experience in Canva and Mailchimp is an asset
- Facilities experience is an asset.
- Experience in the hospitality industry
- A passion for the film/vfx industry
- Previous experience in a fast-paced customer oriented role
- A confident, outgoing, friendly demeanor
