Executive Assistant and Office Manager

We’re seeking a mature, reliable and hardworking individual to serve as our Office Manager and as an Executive Assistant. The Executive Assistant and Office Manager will report directly to the Executive Director of Administration.

**RESPONSIBILITIES**
**Executive Assistant Responsibilities**:
- Leadership and staff meetings: scheduling, assisting with creating the agenda, taking meeting minutes/recording video meetings, organization of catering and general food/beverage needs for various meetings.
- Assist with details surrounding monthly board meetings as well as the Annual General Meeting - planning, registration, notes etc.
- Assist the Pastoral Lead Team (PLT) with their calendar management, incoming communications and expense reporting
- Assist the PLT with preaching calendar preparation and be a second set of eyes by reviewing and editing weekly sermon content (sermon slides) then forward sermons to the Hearing Impaired Group each week.
- Make travel arrangements where needed; booking flights, hotels, cars, transit passes
**Office Management Responsibilities**
- Ordering of office supplies, keeping within budget
- Maintain organization of office area and office materials, ensuring adequate stock is available
- Overseeing printer/photocopier maintenance and supply needs
- Being available to answer the door to receive packages, assist visitors and available to answer the phone for general inquiries
- Other general administrative tasks as needed and as time allows - i.e database and process management
**REQUIRED SKILL SET**
- Previous experience in an administrative role, specifically in an executive assistant role is preferred
- Well developed interpersonal and communication skills (verbal and written)
- Proven ability to work in a high trust position and deal with sensitive confidential information appropriately
- Works well independently as well as the ability to work collaboratively with all ministries, be a team player with a commitment to quality and customer service
- Strong time management, attention to details and organizational skills
