SilverBirch Hotels & Resorts is one of Canada’s leading hotel management companies and manages a large portfolio of full-service, focused service and extended stay hotels across Canada. The company manages independent hotels and hotels operating under major franchise brands, such as Marriott, and Hilton.

**What You Will Do**:

- Pre-pare site rooms: coordinate the rooms with the front desk, coordinator with housekeeping to ensure the rooms are inspected and when possible, a specialized messaging and towel display
- Booking dining reservations for the Director of Sales and Marketing, Sales Managers and Conference Service Managers
- Create proposals based on pre-approved templates
- Create contracts based on pre-approved templates
- Create Group Resumes: connect with the Group Reservation Coordinator for room pick up to contract, connect with Conference Service Manager for Set up/F&B/AV details as well as any special messaging, VIPS, billing
- Prepare rates & favors, manage the inventory of all available items
- Responsible for sport team blocks up to 20 rooms with no catering
- Ensure BEO (Banquet Event Orders) & EO (Event Orders) are available for the BEO meeting and ensure distribution to all departments
- Research for the Director of Sales and Marketing, Sales Managers and Conference Service Managers
- Facilitate commissions and Aeroplan points
- Ensure all collateral is up to date and available (printed copies and a bank of template)
- Revisions to collateral
- Prepare sales kits
- Assist the Director of Sales and Marketing, Sales Managers and Conference Service Managers with follow up proposal, contracts and menus
- Prepare welcome and thank you cards for the DOSM, SM, CSM
- Attend any property or brand training
- Reports: Weekly Turnover report, Events Report, next week’s sites & sales calls, Catering Tracker, Business Block Short List

**Your Preferred Education & Qualifications**:

- Strong technical skills in Word, Excel, Outlook, Opera
- Excellent organizational skills
- Excellent telephone etiquette
- Excellent customer service skills
- Ability to work under pressure and meet tight deadlines in a fast-paced environment
- Ability to be a team player with a high level of dedication
