**About the position**

As Administrative Assistant, you’ll play a pivotal role in the company, assisting the Director of Finance and Executive Assistant. You’ll manage schedules, provide comprehensive administrative support, and contribute to marketing strategies, including social media management. Your resourcefulness, problem-solving, and organizational skills will be essential for exceptional customer service, timely task completion, and overall office efficiency.

**Summary of Responsibilities include, but are not limited to**:

- Handle complex office situations with discretion and confidence
- Draft and distribute correspondence, presentations, letters, spreadsheets, and reports
- Assist with recruitment and HR processes
- Update, maintain, and enforce business and operational policies and procedures
- Maintain accurate filing systems and records
- Organize staff events such as recognition activities, and holiday socials
- Manage vendor accounts, research new suppliers and pricing, order office supplies
- Create and adjust schedules, book appointments, arrange meetings, and take minutes
- Maintain client and supplier contact lists
- Manage and update company social media accounts to support marketing
- Post occasional company update and announcements on social media channels as directed
- Support basic website updates (e.g. posting new items, updating team bios or project listings)
- Order branded materials & supplies as needed (e.g. business cards, signage, event material)
- Keep digital & photo files organized for marketing use (e.g. project images, logos, and templates)
- Assist with internal or client communications such announcements or event invitations
- Support business development and sales opportunities
- Research industry trends, events, publications, and announcements
- Participate in educational opportunities and maintain professional networks
- Build trusting relationships and promote company expertise
- Identify opportunities for process improvement
- Participate in peer feedback and review processes
- Document, evaluate, and support lessons learned and continuous improvement
- Maintain a safety culture and support annual safety audits

**Required Skills**:

- Undergraduate degree from a technical college or university or 2-5 years of experience as an Administrative Assistant or Office Administrator
- Knowledge of office management systems, procedures and office equipment
- Proficiency in MS Office (Office365, Teams, Word, Excel, PowerPoint, Outlook)
- Excellent time management and prioritization skills
- Attention to detail, problem-solving abilities, organizational skills and ability to multi-task
- Strong written and verbal communication skills
