**Overview**
The Executive Assistant ensures the efficient operation of the President’s office by providing administrative support which includes the development of relationships, the planning and execution of special projects, and prioritizing of internal and external requests. This is a high-profile position requiring integrity, professionalism and dedication.
**Essential Job Functions**
- Organize and manage an active calendar including scheduling meetings, engagements and appointments
- Arrange all logistics for in-person or virtual meetings & events, including travel, accommodation, equipment, virtual platforms, and catering
- Record and distribute minutes for Board and Committee meetings
- Prepare, coordinate and disseminate Board and Committee meeting materials
- Provides “gatekeeper” and “gateway” role, creating direct access to the President’s time and office.
- Manage incoming correspondence by prioritizing and determining appropriate course of action
- Responds to internal and external requests for information and follows through to ensure requested actions are taken or completed
- Prepares presentations, reports, and materials, as needed for meetings and presentations both internal and external
- Manages internal documentation and soft-copy filing systems
- Provides general administrative support and performs diversified administrative duties
- Establishes & manages relationships with industry contacts
- Liaise with vendors and contractors for office upkeep
- Other duties as assigned by the President including providing administrative support to the CEO & other Executives
**Qualifications**
- 5 years administrative experience supporting a C-Level Executive
- Bilingual - French and English is an asset
- Demonstrated proficiency in all aspects of MS Office; with advanced knowledge of Word, PowerPoint and Excel
- Exceptional prioritizing and organizational skills within a fast-paced environment
- High level of accuracy and attention to detail
- Excellent customer service orientation, sensitive to client issues and understanding of importance of diplomacy and confidentiality
- Demonstrated ability to interact professionally with people at various levels of an organization
- Excellent verbal and written communication skills
- Ability to multi-task in a deadline driven environment
- Initiative, strong judgment and problem-solving abilities
