Are a team player - Are optimistic and forward thinking - Like to be the "go-to" person - Are naturally helpful and supportive - Are quick with technology - Are a "to-do" list type person who can juggle lots of tasks with grace - Can go with the flow of business and react quickly to changes and deadlines - Self manage The specific responsibilities include: - Prepare correspondence documents, agendas and meeting preparation reports - Schedule meetings for executive members and coordinate itineraries - Take and respond to phone calls and messages, including the management of department issues and inquires - Act as a filter for the advisors by triaging problems to reduce distractions - Work in perfect coordination with the members of the executive assistance group - Data input to open accounts, manage client files and track new business, trades and transfers - Occasionally complete trade instructions Your skillset/characteristics should include: - relationship skills that are welcoming, collaborative, and responsive with commitment to excellence in service - adaptability and comfort with change, advanced organizational skills with experience in successfully managing multiple priorities in a time sensitive environment - situations are often unstructured and complex, which requires initiative, critical thinking and good judgement - political acumen, with a high regard and ability to handle confidential information - experience facilitating and coordinating work on behalf of others and in service of multiple advisors - advanced organizational skills to manage high workloads - strong listening skills, with the ability to take direction from multiple staff members - articulate, concise and tactful communication skills (both written and verbal) - proficient computer skills with the willingness to learn new programs - Potential to do advanced education to progress in position Hours are M-F, 8:00-4:30pm Start date is flexible Pay: $55,000.00 per year Additional pay: - Bonus pay - Commission pay - Retention bonus **Benefits**: - Dental care - Disability insurance - Extended health care - Life insurance - On-site parking - Paid time off - RRSP match - Vision care Flexible language requirement: - French not required Schedule: - Monday to Friday **Experience**: - administrative assistant: 1 year (preferred) - Customer service: 1 year (preferred) Work Location: In person
