**The Position**:
Reporting to the Vice Principal, Strategic Innovation & Design, this position provides administrative support to the Vice Principal, and to the portfolios of the Forum for Change, Havergal’s global experience hub, and HC-X, Havergal’s hub for innovative and future-ready programming. This position will support the financial, operational, database and event management of the Vice Principal, Strategic Innovation & Design portfolio. This role requires interfacing with students, faculty and families of Havergal College.

**Specific Accountabilities**:

- Perform and coordinate day-to-day administrative functions to ensure efficient operations of the Strategic Innovation and Design portfolio
- Coordinate and support programming and events in the school calendar, by liaising with administrative staff and coordinators from other teams to ensure accurate and timely programming
- Administer and support various needs for programming, such as transportation, ticket purchasing, food ordering and other tasks necessary
- Coordinate the budget reconciliation process monthly
- Act as the primary support and contact for database management by maintaining and updating student programming and event registration, updating and uploading data, manually entering data, and exporting various reports as well as managing required communications through the student information system
- Collaborate with, and support HC-X and Forum for Change faculty and staff with programming development, registration, logistics and implementation including, but not limited to:

- Global Exchange and Excursion programming
- Professional Development
- Digital Credentialing program
- Duke of Edinburgh Award
- Community Service Hours
- Resolve or respond to all requests for support within a reasonable time
- Contribute to team effort by completing administrative requirements and expediting work results in a healthy and safe manner, and in adherence to School’s standards and policies
- Develop quality solutions for improving efficiency and effectiveness of own work activities
- Complete ad hoc duties as assigned based on the department needs

**Qualifications, Knowledge and Experience**
- Minimum of 3 years of experience in administrative role supporting senior leaders and executives
- Completion of post-secondary diploma, degree, or College certificate
- Excellent customer service orientation and interpersonal skills
- Experience in coordinating multiple projects and events using organizational, time management and coordination skills
- Excellent database management skills
- Strong verbal and written communications
- Proven knowledge of appropriate software including Microsoft Word, Excel, and PowerPoint, Adobe Acrobat and Google Workspace, and video conferencing platforms
- Able to work in a self-directed manner appropriate to changing needs
- A proven commitment to working successfully in collaborative environments, both face-to-face and virtually
- Demonstrated ability to multi-task and ability to be flexible when priorities shift
- Experience in an independent school is an asset
