We are currently seeking a dedicated and organized Administrative Assistant to join our team.

**Key Responsibilities**:

- Answer and direct phone calls, take messages, and handle correspondence.
- Manage and organize office operations and procedures.
- Schedule meetings and appointments.
- Assist in the preparation of regularly scheduled reports.
- Develop and maintain a filing system.
- Order office supplies and research new deals and suppliers.
- Order and track materials supplies for all projects.
- Provide general support to visitors.
- Act as the point of contact for internal and external clients.
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
- Coordinate and assist with special projects as required.
- Ensure the office is always clean and presentable.
- Perform general office tasks such as typing, filing, and answering phones.
- Manage incoming and outgoing correspondence.
- Assist with data entry and maintaining electronic and hard copy filing systems.
- Coordinate appointments and maintain calendars.
- Provide exceptional customer service to clients and visitors.
- Assist with proofreading documents for accuracy.
- Utilize QuickBooks for basic accounting tasks.
- Coordinate project installation with clients, installation teams and production.
- Provide support to marketing team.

**Qualifications**:

- Proven experience as an administrative assistant or office admin assistant.
- Knowledge of office management systems and procedures.
- Proficiency in MS Office (MS Excel, MS Word, and MS Outlook, in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multi-task.

Pay: $20.00-$25.00 per hour

Expected hours: 37.5 per week

- Bachelor's Degree (preferred)
