Key Accountabilities
- Billing management: Invoicing all outgoing shipments and pickups
- Credit management: including Empty reel returns, Material and or miscellaneous credits.
- Reception: Answers all inbound phone calls for NCS International, National Cable Specialists (BC to Saskatchewan) and Noramco - from customers and suppliers in a professional and timely manner, and redirects calls to appropriate departments.
- Company Expense Administration: Processes business expenses in Workday - Miscellaneous: Including filling, stationary orders, coffee supplies, mail distribution, Purolator, etc.
- Cash Sale Deposit and reconciliation
Back up role
- Account payables backup: Processes vendor invoices for payment in our ERP system.
- Freight variance backup (EMCO): Reviews and identifies discrepancies with EMCO fright reports, communicates and resolves all variances directly with EMCO. Checks in bound Receiving documentation to ensure accuracy.
Main Responsibilities:
- Ensure all job functions are performed in accordance with the Guillevin Standard Practice Instruction (SPI) Manual
- Primary lead in ensuring all inbound calls to our switchboard are answered and directed to the correct person.
- Primary lead on billing of customer invoices.
- Ensure that billings are done in a timely and accurate manner.
- Process all approved miscellaneous company expenses in Workday.
- Handling of all incoming/ outgoing mail.
- Ordering of all office supplies.
- Generate daily Moneris report and send it to our credit department team.
- Assisting Sales team - cash sales/ Moneris transactions, any inquiry about in progress/ currently billed/ billed sales orders (price adjustments, credit and rebills, etc.).
- In collaboration with sales, logistics and receiving departments, ensuring that all customer reel returns are processed in our ERP system for customers as they are received.
- In collaboration with receiving department and vendors, ensuring that all vendor reels are processed as they are shipped.
- Take initiatives and assists co-workers when needed (backing up hours for co-workers on vacation).
- Works well with team members/ respectful and courteous to others.
- Ensure work to be completed is prioritized.
- Participate in all department team meetings as required.
**Qualifications**:
- Grade 12 minimum completed.
- Ideally 1-2 years of related experience.
- Strong communication and people skills, initiative.
- Ability to manage challenging interactions (customer facing) with internal and external individuals.
- Good knowledge of Microsoft Office (Word, Excel, Outlook).
- Good English communication skills written and spoken.
- Strong ability and desire to develop and grow skills.
- Ability to work independently and complete projects with mínimal supervision
