**DUTIES/RESPONSIBILITIES**
**Administrative**
- Approving, coding, and posting payables
- Processing a weekly cheque run or individual cheques for (quick pay) and on the 25th of each month.
- Monthly HST reconciliation as required.
- Maintaining the filing system/room accordingly
- Handling all vacation requests
**Pumping Job Admin**
- Prepare job invoices using Pumping Software (“Pump Magic”)
- Contacting and replying to vendors with invoice inquiries/revisions
- Collection on accounts (with receptionist’s help when needed)
- Prepare miscellaneous/extra A/R invoices on request.
- Receiving orders, inputting requests, creating new jobs in Pump Magic
- Coordinating with Pump Manager for new orders
- Ensure all pump operators receive job texts for the next day schedule.
- Checking timesheets with driver tickets to ensure consistency and payroll processing.
- Prepare weekly toolbox talks.
- Additional duties as requested by Senior Management
**QUALIFICATIONS/SKILLS/REQUIREMENTS**
- Minimum 3-5 years of experience in the related position - preferred
- Knowledge of construction industry an asset
- Strong knowledge of Microsoft Office
- preferably Excel
- Strong knowledge of an accounting system
- preferably Jonas
- Strong written, organizational, and communicational skills
- Strong mathematical and or accounting skills
**EDUCATION**
- Post-secondary and or relevant working experience/knowledge
- Accounting courses preferred.
Schedule:
- 8 hour shift
- Monday to Friday
- Morning shift
Ability to commute/relocate:
- Bolton, ON L7E 4H8: reliably commute or plan to relocate before starting work (required)
