**Position Title**:Office Manager

**Start Date**:Immediately

**Hours**:Monday to Friday, 8:00 am - 4:30 pm

**Pay Rate**:$24-$26/hour to start, depending on experience

**Position Description**:
Insight LLP Chartered Professional Accountants works with a varied client base of entrepreneurs and small businesses to improve their accounting workflow and identify opportunities to maximize their bottom line.

**Experience with office management and an understanding of operational processes within an accounting practice is considered an asset.**

**Position Duties**:

- Manage digital and paper filing systems by tracking and submitting documents both electronically and by mail
- Coordinate and manage the onboarding of new clients (i.e., sending engagement letters and authorization forms, ensuring the established process is followed)
- Coordinate and support the year-end file management process, ensuring key deadlines are met (e.g., printing and assembling year end documents, scheduling meetings, filing tax returns, etc.)
- Manage calendars, scheduling, and meeting preparation activities (e.g., book client appointments, schedule follow-ups, scheduling of shared office spaces, meeting preparation and planning, etc.)
- Act as a point of contact for facility and office-related concerns (i.e., scheduling maintenance contractors, etc.)
- AP/AR (e.g., invoicing, receiving payments, preparing statements and managing deposits, recording internal payables and paying outstanding bills, managing the collections process)
- Update and maintain CRM software database, including client information and project tracking
- Maintain and update internal documents (i.e., employee training manuals, business documents, policies and procedures, etc.)
- Assist with new employee onboarding (e.g., software training, paperwork, building access)
- Provide general administrative support to the partners and team as needed (i.e., troubleshooting, data entry, newsletter communications, etc.)

**Specific Skills**:

- Minimum 2-years administrative experience or office management
- Excellent communication, interpersonal, and leadership abilities
- Ability to work well with a varied client base
- Organized with the ability to anticipate, plan, and prioritize effectively
- Detail oriented with the ability to multi-task and execute in order to meet important deadlines
- Demonstrates flexibility and adaptability
- Ability to develop and streamline processes that promote efficiency and help to keep the team on track
- Grasps new concepts quickly
- Familiarity with general bookkeeping and basic accounting principles
- Basic tax knowledge is considered an asset
- Excellent computer knowledge and skills
