**Job Summary**:
Reporting to the Supervisor, Scheduling and Administration, this role is responsible for providing administrative support to the Deputy Chief/Manager Operations, Scheduling and Administration Supervisor, Operations Superintendents, and Platoon Leader.
**Duties & Responsibilities**:
- Provides administrative support to the Deputy Chief/Manager Operations, Scheduling and Administration Supervisor, Operations Superintendents, and Platoon Leaders and acts as a liaison between the Deputy Chief/Manager and the field personnel by communicating issues and information to and from the various locations.
- Provides operational support through various duties related to fleet management, Division documentation, information requests, offload delay program, modified work program, scheduling.
- Processes on a daily basis, operational documents - electronic or paper - submitted from paramedics including confidential patient information, ensuring confidentiality is maintained at all times.
- Provides support to committees and/or meetings by coordinating meetings, preparing and distributing agendas and minutes to internal and external parties.
- Maintains a variety of files, binders and electronic logs for administration offices.
- Maintains a working knowledge of various information technology programs - Workforce Management, Operative IQ.
- Performs other duties as assigned.
**Skills & Qualifications**:
- Business College Certificate and a minimum of two years’ experience working in an administrative environment including coordinating meetings, preparing correspondence, minutes and agendas
- Strong commitment to provide excellent customer service
- Possess strong written and verbal communication skills
- Ability to multi-task while managing a heavy workload within tight timelines
- Experience working with confidential information
- Able to work in a team environment as well as independently
- Advanced experience and knowledge of Microsoft Office, including Teams is essential
- Previous experience providing payroll and scheduling support in a unionized, 24/7 environment is an asset
- An equivalent combination of education and experience will be considered
**Working/ Employment Conditions**:
- The majority of the work schedule will be Monday to Friday, however, flexibility is required to work evenings & weekends, where required, to support 24/7 operational needs.
