Join our close-knit team as an **Office Administrator** and become an integral player in supporting our plant operations with a variety of administrative functions. We are looking for a dependable, highly organized individual capable of managing multiple priorities and who can introduce new perspectives.
Please note this is an **on-site position** with no work-from-home opportunity.
**Key Responsibilities**:
- **Front Office Management**: Serve as the first point of contact by managing incoming calls, greeting visitors, and creating a welcoming environment.
- **Financial Administration**: Manage accounts payable and receivable processes with accuracy and attention to detail.
- **Departmental Support**: Provide administrative support across sales, production, and purchasing departments as needed.
- **Human Resources Coordination**: Assist with recruitment, new hire orientations, and maintaining training and safety records.
- **Payroll**: Track and report employee hours for accurate bi-weekly payroll processing.
- **Event Coordination**: Lead the planning and organization of company events.
- **Logistics Coordination**: Handle logistics for incoming and outgoing freight, including preparation of customs paperwork.
- **Data Entry and Reporting**:Input data related to production, sales, or financials and generate reports for management as required.
- **Customer Service**: Assist in servicing customer accounts when necessary.
- **Vendor Relations**: Manage relationships with office service providers and vendors, resolving discrepancies when necessary.
- **Marketing and Technology Support**: Assist in marketing activities and learn to use various software tools, including AI technologies, to enhance operations and streamline workflows.
- **Compliance and Documentation**: Ensure the business stays compliant with regulations and maintain updated records of licenses and certifications.
- **Administrative Projects**: Participate in operational meetings and take on various administrative duties and special projects, as required.
- Minimum **3 years of relevant administrative experience**, preferably in a manufacturing environment.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience with Sage 50 and JobBoss is an advantage.
- The ability to learn and use new software, including AI tools.
- Strong organizational skills with a high attention to detail and the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Ability to work independently in a fast-paced environment while managing multiple tasks.
- Knowledge of workplace health and safety practices is an advantage.
