We may have the role for you As a member of the Facilities Team, the Facilities Administrative Assistant will provide administrative support to various departments including Operations, Maintenance, and Property Management. - What you’ll do:_ - Manage the venue schedule for playing surfaces and meeting space to include all internal bookings, practices and home games as they relate to the 67s, REDBLACKS and external teams. - Manage multiple calendars, including scheduling meetings and preparing materials. - Record and distribute meeting minutes. - Create and maintain operations work orders and P. O’s; - Place service orders, research new products and services, contact vendors regarding supplies and equipment, and troubleshoot, as needed. - Receive and distribute mail, prepare and coordinate courier requirements while ensuring deliveries are met within pre-determined timelines. - Coordinate, order and stock office supplies, coffee and water. Manage supplier relationships, as required; - Maintain, update, purge and archive paper files and backlog of unfiled documents; - Assist with the preparation of business presentations; - Assist with budget implementation and tracking. - Prepare part-time employee schedules while ensuring effective use of resources, and log in hours - Facilitate office workspace requirements. Help to coordinate moves and other logistics; - Prepare reports for payroll & P&L; - Assist in planning, organizing and coordinating functions and special events as needed; - Assist with special projects as needed. - Other duties as assigned by management. - What’s needed:_ - Post-secondary education; - 1-2 years of administrative experience in a fast-paced environment; - Expertise in supporting all levels of staff; - Strong computer skills in Microsoft Word, Excel, and PowerPoint; - Excellent communication skills, listening, verbal and written; - Strong ability to work as part of a team; - Is creative, highly organized and can handle many tasks at once; - A passion for and willingness to learn, accompanied by a strong work ethic; - Bilingualism is an asset Why OSEG?
