Responsibilities - Oversee daily office operations to ensure efficiency and accuracy in administrative tasks - Answer and make customer calls to schedule, confirm, and follow up on service appointments - Communicate professionally with clients, suppliers, and technicians - Manage CRM system with up-to-date customer and job information - Coordinate with suppliers for orders, deliveries, and inventory management - Handle basic procurement and maintain office supply levels - Process accounts payable and assist with bookkeeping - Maintain organized records and support payroll and documentation processes - Implement office policies and procedures to enhance productivity - Support the development of training and onboarding materials for new staff - Work under pressure and manage multiple tasks with mínimal supervision Experience and Qualifications - Proven experience in office administration, preferably in a service or HVAC environment - Strong customer service and phone handling skills - Familiarity with CRM systems and procurement processes - Basic bookkeeping or accounts payable experience - Excellent communication and interpersonal skills - Strong organizational and multitasking abilities - Proficiency in office software (e.g., Microsoft Office, QuickBooks, or similar) - Ability to work independently and thrive under pressure

**Job Types**: Full-time, Part-time

Pay: $16.90-$25.00 per hour

Expected hours: 25 - 40 per week

Schedule:

- Monday to Friday

- Office: 2 years (required)
- HVAC industry: 1 year (preferred)
